If a card is lost, stolen, or expired, you can replace, freeze, or cancel it directly from your dashboard.

Replace a card

Replacing a card issues a new card with updated details while carrying over your spend limits. Subscriptions, automatic payments, and digital wallets (such as Apple Pay) move to the new card automatically.

Virtual cards

Virtual card replacements are instant. The new card is active immediately and the original card is marked as replaced.

Physical cards

Physical card replacements require a shipping address. Once the replacement is requested, a new physical card is shipped to the cardholder. The new card starts inactive and must be activated after the cardholder confirms receipt. The original card remains usable until the replacement is activated.

After replacement

When a card is replaced, a Renewed badge appears next to it on your dashboard. This lets you know the new expiration date and security code are ready. The badge disappears after you view it. Replaced cards appear in your cards list with a Canceled (replaced) status and can no longer be used for new transactions.

Freeze or cancel a card

  1. Log in to your dashboard or the Karat app
  2. Navigate to Banking or Charge Card > Cards
  3. Under the Status column, locate the affected card
  4. Toggle the card status to deactivate (freeze) or cancel
Freezing temporarily disables new transactions and can be reversed at any time. Freezing doesn’t stop recurring charges such as subscriptions. To stop a merchant charging the card, cancel it. Canceling permanently closes the card and cannot be undone. Freezing or canceling a card prevents new transactions but does not affect past posted transactions.

Cards approaching expiration

Karat automatically tracks physical cards that are approaching their expiration date and issues replacements before the existing card expires. You don’t need to request a replacement for a normal expiry.

What to expect

  • Six months before expiration: You receive a reminder to review the shipping address on file for the cardholder.
  • Three months before expiration: You receive a follow-up reminder if the shipping address still needs to be confirmed.
  • Final reminder: A last notification is sent if action is still required before the card expires.
  • Replacement issued: Once the address is confirmed, a new physical card is produced and shipped to the cardholder. The existing card continues to work until the replacement is activated.

Confirming the shipping address

If the cardholder’s address needs review, the renewal pauses in an “awaiting address confirmation” state until you confirm or update it. To keep replacements on track:
  1. Open the affected cardholder’s profile.
  2. Verify the mailing address under the cardholder’s details.
  3. Update the address if needed and save the change.
Once the address is confirmed, the replacement automatically resumes and a new card is shipped.

If a renewal fails

If a replacement can’t be completed automatically (for example, due to a card production or shipping issue), our team is alerted and will reach out to coordinate next steps.
