How roles work

Karat supports four primary user roles with different access levels across Card and Banking. Users can hold different roles for different products. For example, a user may be a Manager for Banking and an Employee for Card. The exception is the Admin role. An Admin always has full account access across all products.

User role types

Admin
Full access to all products, settings, and team management across the entire account.
Manager
Broad access within assigned products, including transaction review and approvals.
Employee
Limited access within assigned products, typically restricted to their own activity and subject to transaction limits or approval workflows.
Accountant
Read-only access to financial data for bookkeeping and reporting purposes.

Inviting a team member

To invite a new team member: Settings > Manage team > Invite member You will need their name and email address.

If the user already has a Karat account

If the email address is already linked to a Karat account, the user receives an invitation to join your organization. When they next log into their dashboard, they’ll see a prompt to accept the invitation. After accepting, a new profile is created for them within your organization while keeping their existing login credentials. Your organization appears in their organization switcher, and they can move between organizations at any time without logging out. If the user is new to Karat

If the email address isn’t linked to an existing account, the user receives an email invitation to create a Karat account. Once they sign up, they’re automatically added to your organization.

Changing a team member’s role

To update a user’s role: Settings > Manage team > ••• > Edit role If a role is upgraded: the user may be prompted to agree to additional terms before gaining access. If a role is downgraded: access is reduced immediately. Existing account activity is not disrupted. All role changes trigger an email notification to the user and all Admins.

Removing a team member’s access
