How roles work

Karat supports four primary user roles with different access levels across Card and Banking. Users can hold different roles for different products. For example, a user may be a Manager for Banking and an Employee for Card. The exception is the Admin role. An Admin always has full account access across all products.

User role types

Admin Full access to all products, settings, and team management across the entire account. Manager Broad access within assigned products, including transaction review and approvals. Employee Limited access within assigned products, typically restricted to their own activity and subject to transaction limits or approval workflows. Accountant Read-only access to financial data for bookkeeping and reporting purposes. For detailed permissions, see user roles and permissions.

Inviting a team member

To invite a new team member: Settings > Manage team > Invite member You will need their name and email address.

If your teammate already has a Karat account

If the email address is already linked to a Karat account, your teammate receives an invitation to join your organization. When they next log into their dashboard, they’ll see a prompt to accept the invitation. To accept an invitation, your teammate’s email address must be verified. If it isn’t, Karat sends them a confirmation link by email. After they confirm their email, they can accept the invitation. After accepting, a new profile is created for them within your organization while keeping their existing login credentials. Your organization appears in their organization switcher, and they can move between organizations at any time without logging out. For more on switching organizations, see Switching between organizations.

If your teammate is new to Karat

If the email address isn’t linked to an existing account, your teammate receives an email invitation to create a Karat account. Before Karat creates the account, your teammate must verify that they own the invited email address. They can do this in one of these ways:
  • Sign up from the link in the invitation email
  • Sign up with a verified Google account for the invited email address
  • Enter the 6-digit verification code that Karat emails to them on the signup form. If the code doesn’t arrive, they can select Send a new code.
Once they verify their email and sign up, they’re automatically added to your organization. If more than one organization invited the same email address, the new account joins all of those organizations.

Changing a team member’s role

To update a teammate’s role: Settings > Manage team > ••• > Edit role If a role is upgraded: your teammate may be prompted to agree to additional terms before gaining access. If a role is downgraded: access is reduced immediately. Existing account activity is not disrupted. All role changes trigger an email notification to your teammate and all Admins.

Removing a team member’s access

To remove a teammate’s access: Settings > Manage team > ••• > Remove Access Karat is a fintech company, not an FDIC-insured bank. Banking and Card services provided by Grasshopper Bank, N.A., First Internet Bank of Indiana, and Cross River Bank, Members FDIC.
