# Closing your Karat account

If you’d like to close your Karat Banking account or Karat Card, our team will help guide you through the process.
Account closures are not self-serve at this time. To begin, contact Karat Concierge at: [concierge@trykarat.com](mailto:concierge@trykarat.com) or text (323) 747-7086.
## Before requesting closure
To avoid delays, please complete the steps below before reaching out.
### 1. Pay off any outstanding credit balance (if applicable)
If you have a Karat Card with an outstanding balance, you must pay it in full before your account can be closed.
Go to **Credit Card > Make a payment** , submit your final payment, and wait for it to fully settle.
Accounts with open balances cannot be closed by the user.
### 2. Transfer out remaining Banking funds
If you have funds in your Checking or Tax ATP account, transfer them to another financial institution before requesting closure.
You may transfer funds via ACH or wire. Keep in mind that transfers may take several business days to settle depending on the method used.
Your total balance must be \$0.00 before we can close your Banking account.
If an account is closed with a remaining positive balance, funds may be returned via mailed check to the address on file.
### 3. Ensure all transactions are settled
All pending incoming and outgoing transactions must be fully processed.
This includes:
* Card transactions
* ACH transfers
* Wires
* Recurring transfers
Incoming payments sent after your account is closed may be rejected or returned.
### 4. Redeem any remaining rewards (Karat Card)
If you have unused credit card rewards, redeem them before requesting closure.
Rewards points cannot be redeemed for cash outside of the platform and cannot be wired or transferred after account closure.
Once your account is closed, any unused rewards will be forfeited.
### 5. Update recurring payments and subscriptions
If you use your Banking Card or Karat Card for recurring expenses, update your payment details with vendors before closing your account to avoid failed transactions.
## Who can request closure
An account owner or authorized beneficial owner must request the closure.
For security purposes, we may ask to verify your identity before proceeding. Only one listed owner is required to authorize closure, but you should notify any other owners before initiating the request.
## What happens after closure
After your account is closed:
* You will no longer be able to send or receive payments
* Cards will be permanently deactivated
* Credit lines (if applicable) will be terminated
* Access to the dashboard may be restricted
We recommend downloading any statements or reports you may need for your records before closure.

# Connect Karat to other apps

You can connect your Karat Banking account to any app that supports Plaid.
To connect via Plaid, search for **Karat** within the app’s bank connection flow. Popular platforms include Venmo, PayPal, Rocket Money, and others.
You can also link your Karat account to mobile payment services that allow ACH connections using your account and routing number found on your Banking homepage.
Karat Banking is not currently supported on the Zelle network.

# Export Karat Banking statements, documents, and transactions

## Download Banking statements

3. Locate the account statement you need
## Download Banking documents

2. Scroll to **Documents**
From here, you can:
* Download a Bank letter (account verification letter)
* Download available tax documents (such as 1099-MISC/NEC, if issued)
The bank letter includes your entity name, address, and checking account details and can be used for vendor verification or payment setup.
If you do not see a document you expect, contact us.
## Export Banking transactions
1. Go to **Settings > Banking**
2. Under **Export transactions**, choose:
* All transactions
* Last month
* Custom range
3. Select Checking and/or Tax planning
4. Click Download
The file will download in CSV format and can be uploaded into accounting software.

# Export Karat Card statements and transactions

## Download Card statements
1. In the app, navigate to **Credit Card**
2. Select the **Statements** page from the left navigation
3. Locate the month you need
4. Under the **Download** column, click the desired report type
Available formats may vary depending on the report selected.
## Export Card transactions
1. Go to **Credit Card > Transactions**
2. Click **Export** to download all card transactions as CSV
## Transaction status definitions
Below are the statuses you may see in your transaction list and what each one means.
The transaction has been approved and fully processed. The charge has been finalized and is included in your current balance.
The transaction has been authorized and is still processing. For purchases, pending transactions typically clear within **2 to 3 business days**.
For payments made toward your Karat balance, pending payments typically clear within **3 to 5 business days**. While a transaction is pending, the final amount may still change.
The transaction was previously approved but has been reversed by the merchant.
Reversals are initiated by the merchant, not Karat. If you have questions about a reversal, we recommend contacting the merchant directly.
The transaction was not approved. Common reasons include: Insufficient available spending limit, suspected fraud, incorrect verification details, and merchant processing errosrs.
If a payment toward your Karat account is declined, you will receive an email with additional details.
The merchant issued a refund for a completed purchase. Refunds typically appear on your account within a few business days after the merchant processes them.
If this status appears on a payment toward your Karat account, it may indicate that the payment could not be completed and the funds were returned to your bank account.
This status applies to payments made toward your Karat balance. It means the payment has fully cleared and your account balance has been updated.
On your Card dashboard page, you may see the following balance fields:
The remaining balance from the previous month that has not yet been paid.
The total amount spent during the current billing cycle.
The total amount of authorized transactions that have not yet cleared.
The approved spending limit for your account.

# Lost or stolen Card & suspected fraud

If you see suspicious or unrecognized activity tied to a card on your account, or if your card was lost or stolen, you should freeze the card immediately.
Freezing the card prevents new transactions from being authorized while we review the activity.
## Freeze the Card immediately
1. Log in to your dashboard
2. Navigate to **Banking** or **Credit Card > Cards**
3. Under the **Status** column, locate the affected card
4. Toggle the card status to deactivate (freeze)
If you later determine that the transactions were authorized, the card can be reactivated at any time.

## Before Starting a Dispute
After freezing the card, review the transactions carefully.
### Have you interacted with this merchant before?
Merchants may accidentally double charge, process delayed transactions, or continue subscriptions after cancellation. Contacting the merchant directly may resolve the issue more quickly.
If the charges are from a merchant you’ve previously done business with, you must attempt to contact them before beginning the dispute process. Failure to do so may negatively impact your case with Visa.
### Does anyone else have access to the card?
Unrecognized transactions are sometimes made by employees, spouses, or family members. Confirm with anyone who may have access to the card before proceeding.

# Holidays and bank closures (2026)

Karat and our partner banks observe U.S. federal banking holidays. On these dates, banks are closed and certain payment types will not be processed until the next business day.
This may affect ACH transfers, wire transfers, check processing, and other scheduled transactions.

# How to cancel Karat Premium subscription

To cancel your Karat Premium free trial:
1. Go to **Settings > General**
2. Navigate to **Manage Karat Premium Subscription**
3. Click **Cancel subscription**
4. Select a cancellation reason from the provided options
5. Optionally, provide feedback in the text field to help us improve (up to 200 characters)
6. Click **Continue** to proceed to the confirmation step
7. Review the benefits you'll be losing and click **Downgrade** to complete the cancellation
You're all set. We're sorry to see you go! If you ever decide to resubscribe to Karat Premium, you can do so anytime under **Settings > General > Manage Karat Premium Subscription**.
### What happens if I cancel during a free trial?
Your Karat Premium subscription ends immediately upon cancellation, and yield stops accruing at that time. Any earned yield will be paid out on the 1st of the following month.
### What happens if my account is restricted?
If your account becomes restricted or frozen, your Karat Premium subscription will be automatically cancelled. You will not be able to resubscribe to Karat Premium until the restriction is lifted. Once your account is unrestricted, you can subscribe again under **Settings > General > Manage Karat Premium Subscription**.

# Manage bookkeeping settings and connected accounts

## Demo mode
If you want to explore Karat Bookkeeping before syncing real accounts, you can enable Demo Mode. This provides sample data so you can preview P\&L reports, balance sheets, and cash flow statements without connecting your financial accounts.
To enable Demo Mode, go to **Settings > Bookkeeping** and toggle on **Demo Mode**.
## SMS settings
Karat Bookkeeping includes SMS expense categorization and account syncing.
To manage SMS settings:
1. Go to **Settings > Bookkeeping**
2. Under **SMS settings**, toggle Categorize expenses with SMS on or off
When enabled, you’ll receive a text after eligible transactions asking you to categorize the expense. This helps keep your books updated in real time.
## Manage connected accounts (Bookkeeping)
To manage synced financial accounts:
1. Go to **Settings > Bookkeeping**
2. Under **Connected accounts**, click Manage accounts
From here, you can: view synced accounts, add additional accounts, and update or refresh connections.
Keeping accounts connected ensures your P\&L, balance sheet, and cash flow reports remain accurate.

# Manage connected bank accounts and social accounts

You can manage your linked financial and social accounts under **Settings > Connections**.
## Bank accounts
Under Bank Accounts, you can:
* View linked external bank accounts
* See the number of accounts connected
* Add another bank
* Re-link expired or deleted connections
* Hide connections you no longer need
Keeping bank accounts connected ensures your financial data stays up to date for underwriting and product features.
## Expired bank connections
A bank connection expires when the authorization between Karat and your bank lapses. This can happen when your bank requires you to re-authenticate or after a period of inactivity.
When a connection expires, the affected bank appears with an **Expired** badge in your connections list.
### How to update an expired connection
1. Go to **Settings > Connections**
2. Find the bank marked as **Expired**
3. Click **Update**
4. Follow the prompts to re-authenticate through Plaid
Once completed, your connection will be restored and your account can be used for autopay, bookkeeping, and other Karat features.
## Deleted or invalidated bank connections
A bank connection may become invalidated if the bank revokes access or a technical issue prevents Karat from maintaining the link. When this happens, the affected bank appears with a red error icon and its accounts display a **Deleted** badge.
Deleted connections cannot be restored. To regain access, you need to create a new connection to the same bank.
### How to reconnect a deleted bank
1. Go to **Settings > Connections**
2. Select the bank marked with a red error icon
3. Click **Connect \[bank name]**
4. Follow the prompts to set up a new connection through Plaid
After you successfully reconnect, the old deleted connection is automatically removed from your list.
### Autopay and deleted connections
If the bank account used for autopay is deleted, autopay is paused until you reconnect. When you open **Connections**, the affected bank is automatically selected so you can take action right away.
After reconnecting, you are prompted to select a checking account from the new connection to resume autopay. You can also switch autopay to a different connected bank under **Settings > Credit Card**.
If you no longer need a deleted bank connection, you can click **Hide from list** to remove it from view. You can do this at any time, even without reconnecting.
## Social platforms
Under Social Platforms, you can:
* Add a social platform
* Enter your handle
* Remove an existing connection
Karat may use your verified social presence to better understand your business activity and audience engagement. Make sure your handles are accurate and up to date.

# View and request Banking limits

# Set transaction alerts for your Karat Card

You can receive SMS alerts for credit card transactions that exceed a specific dollar amount.
To manage transaction alerts:
1. Go to **Settings > Credit Card**
2. Under **Alerts**, toggle Transaction Alerts on or off
3. Set your threshold under “Text me when transactions are over”
4. Click **Change threshold** to update the amount
Once enabled, you’ll receive a text message when a transaction exceeds your selected amount.
Setting a low threshold (such as \$0.01) allows you to receive alerts for every transaction. Transaction alerts can help you monitor spending in real time and quickly identify unauthorized activity.
Alerts are sent to the phone number listed under **Settings > General > Personal information**. If you’re not receiving alerts, confirm your phone number is correct and that alerts are turned on.

# Set up inbound transfer notifications

You can receive email notifications when ACH or wire funds are deposited into your Karat Banking account. This helps you stay informed about incoming payments without needing to check your dashboard.
## Turn on inbound transfer notifications
1. Go to **Settings > Banking**
2. Scroll to **Notifications**
3. Under **ACH & Wire transfers**, toggle the switch to **ON**
Once enabled, you'll receive an email each time an inbound ACH or wire transfer is received. The email includes:
* The transfer amount
* The destination account
* The originating bank (when available)
* A description of the payment (when provided by the sender)
## Turn off notifications
To stop receiving inbound transfer emails, return to **Settings > Banking > Notifications** and toggle the switch to **OFF**.
Inbound transfer notifications are per-user. Each team member with access to Karat Banking can enable or disable notifications independently.

# SOC 2 Compliance

# Switching between organizations

If you manage multiple business entities, you can create and switch between organizations directly from your dashboard. Each organization has its own accounts, cards, team members, and settings, all accessible under a single login.
## Creating a new organization
You can add a new organization to your account at any time.
1. Click the organization name and avatar in the bottom left of your dashboard
2. Select **Create new organization** at the bottom of the list
3. Enter a nickname for the organization (up to 32 characters)
4. Click **Create organization**
Your new organization is created immediately. You can switch into it right away and begin setting up accounts, cards, and team members.
## How to switch organizations
To switch to a different organization:
1. Click the organization name and avatar in the bottom left of your dashboard
2. Select the organization you want to switch to from the list
3. Wait for the switch to complete
A "Switching to..." overlay appears while the change is in progress. Once complete, your dashboard refreshes to show the selected organization's accounts, cards, and transactions. You remain logged in with the same credentials.
## What changes when you switch
When you switch organizations:
* Your session updates to the new organization's context
* All account data refreshes to show the selected organization
* Your cards, transactions, and settings reflect the new organization
Each organization maintains its own separate accounts, cards, team members, and settings.
## Joining another organization
If someone invites you to join their organization and you already have a Karat account, you'll see an invitation prompt on your dashboard. You can accept it directly without creating a new account. Once you accept, the new organization appears in your organization switcher.

## Linking bank accounts across organizations
When you link a bank account via Plaid, Karat checks whether that account is already connected to one of your other organizations. If a match is found, you'll see a warning before proceeding.
You can still link the same bank account to multiple organizations, but be aware that this may affect how transaction data is shared and could impact underwriting decisions for each organization.

## Migrating to multi-entity structure
If you're currently using Karat under separate logins and want to manage multiple business entities under one account, our team can consolidate everything into a multi-entity setup.
### How to request a migration
Contact our team and include:
* A list of all account email addresses you'd like consolidated
* The primary email address you want to use as your main login going forward
Our team will review your request and complete the migration on your behalf. Once finalized, you can access and switch between your organizations directly from the dashboard.

# Understanding account closures and access restrictions

Karat supports a wide range of creator and business customers. In certain situations, we may restrict access to an account or close it in accordance with our Terms of Service, cardholder agreements, and banking partner requirements.
We understand that closures or restrictions can be disruptive. While we may not always be able to share specific details due to legal, regulatory, or compliance obligations, this article outlines common reasons an account may be restricted or closed.
## Common reasons for account closure
Karat may close a Banking account, Karat Card, or both for reasons including, but not limited to:
**Eligibility or agreement violations**
* Violation of our Terms of Service or applicable account agreements
* Operating in a restricted or unsupported industry
* Operating from or relocating to an unsupported geography
* Using the account for purposes inconsistent with the stated business activity
* Facilitating payments on behalf of unaffiliated third parties
* Misuse of card products in violation of card network rules
**Compliance and regulatory obligations**
* Incomplete or insufficient responses to requests for verification
* Inability to verify identity, business activity, or source of funds
* Activity involving restricted, sanctioned, or high-risk individuals or entities
* Suspected illegal, fraudulent, or illicit activity
* Attempts to evade KYC, AML, or other regulatory requirements
**Account standing issues**
* Persistent negative balances
* Conflicting instructions or ownership disputes
* Extended account inactivity
* Accounts that remain inactive for an extended period (generally 18 to 24 consecutive months with no meaningful activity) may be deemed dormant and subject to closure in accordance with regulatory requirements.
## What to expect if your account is closed
If your account is closed:
* Account access will be disabled
* Cards will be permanently deactivated
* Credit lines (if applicable) will be terminated
* You will no longer be able to initiate new transactions
In some cases:
* Previously scheduled or in-flight transactions may still settle
* Funds may be returned, held, or disbursed according to regulatory requirements
* You may receive separate communication regarding fund disbursement
If applicable, details about any remaining funds will be included in your closure notification.
In most cases, closure decisions are final. If circumstances materially change, we may review new information at our discretion.
## Locked or restricted accounts
In some situations, an account may be temporarily restricted rather than permanently closed.
This typically occurs while we:
* Await required documentation or responses
* Review account activity
* Investigate compliance-related matters
* Process legal requests such as levies or garnishments
While restricted:
* You may be unable to send money or initiate new transactions
* Card activity may be paused
* Certain dashboard features may be limited
* Incoming transactions may still process depending on the restriction type
* **Your Karat Premium subscription will be automatically cancelled** if you have one
* You will not be able to subscribe to Karat Premium until the restriction is lifted
If we've requested additional information, please respond by the deadline provided in your email. Failure to provide required information may result in account closure.
## What you can do if your account is restricted
Depending on the reason for the restriction, different steps may apply:
* **Inactivity** — If your account was restricted due to inactivity, you may be able to begin the reactivation process by reviewing and accepting updated terms in your dashboard. Once complete, your account will be reviewed for reactivation.
* **Missed or returned payments** — If your account was restricted after a missed or returned payment please contact us for payment scheduling or if you have any questions.
* **Scheduled payment processing** — If your account is restricted while a scheduled payment is being processed, access will be reviewed once the payment clears. Contact us if you have questions.
* **Other reasons** — In some cases, we may not be able to share the specific reason for the restriction. If you have questions, feel free to contact us for further assistance.
Accepting updated terms or resolving a payment does not guarantee immediate reactivation. All accounts are subject to review before access is restored.
## Why we may not share specific details
Due to legal, compliance, and security requirements, we may not be able to disclose the exact reason for certain restrictions or closures.
Karat operates in partnership with regulated financial institutions and must comply with applicable U.S. banking laws and card network requirements.

# Updating your account information

Manage personal details, Karat Premium subscription, security settings, mailing address, and account owners from Settings in your Karat dashboard.
You can manage your personal details, subscription, security settings, and mailing address directly from your dashboard under **Settings**.
Go to **Settings > General** to view and update the information outlined below.
## Personal information
Under **Settings > General > Personal information** , you can view your name, email and phone number. If you need to make changes that are restricted, select **Contact Concierge** to open a popover where you can copy `concierge@trykarat.com` or open your default email app with a pre-filled message.
## Manage your Karat Premium subscription
Under **Settings > General > Manage Karat Premium subscription**, you can:
* View your current plan (Standard or Karat Premium)
* See your next billing date
* View which account is being billed
* Cancel your subscription
If you’re eligible for a promotional offer or free trial, it will appear under **Promotional offers** in this section.
## Security settings
Under **Settings > General > Security**, you can:
* Change your password
* Enable or disable two-factor authentication (2FA)
We strongly recommend keeping two-factor authentication turned on for additional account protection. If you’ve forgotten your password, go to [app.trykarat.com](http://app.trykarat.com) and click **Forgot Password?** on the login screen to reset it.
## Address
Your billing address is used for account verification, card statements and related documentation. If you need to update it, select **Contact Concierge** in the **Billing address** section to copy our email address or open your default email app.
Your mailing address is used for physical card deliveries and other correspondence. To update, go to **Settings > General > Mailing Address**, enter the updated address, and click **Save**.
Mailing addresses must be valid, physical U.S. addresses that can receive mail. P.O. boxes are not supported for card delivery.
## Requesting banking limit changes
Under **Settings > Banking > Banking limits**, you can review your current daily and monthly transfer limits. To request a change, select **Contact Concierge** to copy `concierge@trykarat.com` or open your default email app.
## When to contact Karat
Some information cannot be changed directly in your dashboard. Use the **Contact Concierge** option next to any restricted field, or reach our team using the channels in [Contact us](/account-settings/contact-us).

Karat collects two types of addresses: your **Business address** and your **Mailing address**. Each serves a different purpose.
## Business address
Your Business address is the physical location where your business operates.
This address:
* Must be a physical address located in the United States
* Can be your residential address if you do not have a separate office
* Cannot be a P.O. Box or Private Mailbox (PMB)
* Cannot be located outside of the United States
Your Business address is used for verification and regulatory compliance purposes.
This address cannot be updated directly from your dashboard. If you need to make a change, please contact us for assistance.
## Mailing address
Your Mailing address is used for shipping physical cards and other correspondence.
You can update your Mailing address at any time from: **Settings > General**
Your Mailing address must:
* Be a physical U.S. address
* Be deliverable by the United States Postal Service
We cannot ship physical cards to P.O. Boxes or PMBs.
Providing accurate address information helps avoid delays in verification and card delivery.

# Gathering your documents

During the application process, we may request documentation to verify your personal and business details. Not every applicant will need to submit all documents, but it’s helpful to have the following available.
## Business formation documents
If your business is registered as an LLC or corporation, you may be asked to provide state-filed formation documents confirming that your company is properly registered. Examples include Articles of Organization, Articles of Incorporation, Certificate of Formation.
These documents should show registration with the appropriate state authority (such as the Secretary of State) in the U.S. state or territory where your business is formed.
If you operate as a sole proprietor, formal formation documents may not be required.
## IRS-issued EIN documentation
If your business has an Employer Identification Number (EIN), we may request proof of issuance from the IRS.
Acceptable documentation may include:
* IRS CP-575 EIN confirmation letter
* IRS SS-4 confirmation letter
* Form 147C
If submitting an SS-4, it must be the IRS confirmation, not just the initial application form.
## How to find your EIN
If you need to locate your Employer Identification Number (EIN) to complete your Karat application, there are several places you can check.
* **Review IRS correspondence.** Look for letters or notices you’ve received from the IRS, such as your CP-575 or SS-4 confirmation letter. Your EIN is typically listed on these documents.
* **Check prior filings or applications.** If you used your EIN to apply for a business license, permit, or bank account, the issuing agency or related paperwork may have your EIN on file.
* **Contact the IRS directly.** You can call the IRS Business & Specialty Tax Line at **800-829-4933** (Monday through Friday, 7:00 a.m. to 7:00 p.m. Eastern Time). An IRS representative will ask questions to verify your identity before providing your EIN.
If you recently applied for an EIN and are still waiting for confirmation, you may need to wait until the IRS processes your request before completing your application.
## Government-issued identification
We may request identification for:
* Any owner with 25% or more ownership
* At least one individual with operational control of the business
Identification documents must include your photo, date of birth, issue and expiration dates, and an identification number.
Examples of acceptable identification:
* **For U.S. citizens:** driver’s license, state ID, U.S. passport, passport card
* **For U.S. permanent residents or non-citizens:** permanent resident card, employment authorization card
* **For international applicants:** passport
Having these documents ready can help speed up the review process if additional verification is required.

# What happens after you apply

Once your application is submitted, it enters our review process. You should typically receive a decision within **1 to 3 business days**. In some cases, review times may vary depending on application volume or whether additional information is needed.
## If we need additional documents
In some cases, we may need to verify your identity or business information before completing your application. If documents are required, you'll receive an email notification with instructions.
1. Navigate to your **Banking** dashboard and you'll be prompted with a modal
2. Follow the instructions in the modal to submit the documents
1. Navigate to your **Card** dashboard and look for **Missing documents** status card
2. Click **Update information** to begin the verification process
3. Follow the prompts to upload the requested documents

## Document types you may need to provide
### EIN verification letter
If we need to verify your business EIN, upload your IRS letter (SS-4 or CP-575). The legal business name and EIN on the document must match your application exactly, including capitalization, punctuation, and special characters.
Acceptable documents include:
* IRS CP-575 EIN confirmation letter
* IRS SS-4 confirmation letter
* Form 147C (EIN verification letter)
### Government-issued photo ID
If individual identity verification is required, upload clear photos of both the front and back of a valid government-issued ID.
Acceptable documents include:
* Driver's license
* State ID
* Passport (photo page)
## Checking your submission status
After uploading your documents, you'll see a confirmation that your documents are under review. The review process typically takes a few business days.

# What is Karat Banking

Karat Banking is built for creator-led and digital-first businesses.
With Karat Banking, you receive a U.S. based business checking account, an optional Automated Tax Planning (ATP) account, ACH transfers and wire payments, a Karat Business Banking Visa® Card, FDIC insurance through our banking partner, and the option to upgrade to Karat Premium for enhanced benefits.
## Checking accounts
Your checking account is your primary operating account. Deposits are received here, payments are sent from here, and Banking Cards spend directly from this balance.
You can create up to five checking accounts to organize funds by purpose, such as operations, marketing, or payroll. Each account has its own account and routing numbers, and Banking Cards can be linked to any of them. See [Managing multiple checking accounts](/getting-started/managing-multiple-checking-accounts) for details.
Your Karat Business Banking Visa® Card can be used anywhere Visa is accepted worldwide.
## Automated Tax Planning (ATP)
You can enable a separate Automated Tax Planning (ATP) account to automatically set aside funds for taxes throughout the year. This helps you separate operating funds from tax savings and manage cash flow more intentionally.
You may choose to route up to 50% of eligible income-based deposits, such as YouTube AdSense revenue or brand payments, into your ATP account. Funds are allocated from deposits made to your checking accounts. If you have multiple checking accounts, you can choose which ones contribute to ATP.
Transfers back to checking can be made at any time. While funds remain in ATP, they earn a higher APY.
## Karat Premium
Karat Premium enhances your banking experience with higher APY on deposits, free outgoing domestic wires, and access to AI Bookkeeping tools.
Earned yield is calculated daily and paid monthly on the first of each month for active accounts with eligible balances.
## FDIC insurance
Karat Banking accounts are FDIC-insured through Grasshopper Bank, N.A., Member FDIC, with access to multi-million-dollar insurance coverage through our partner network.
Deposit placement through ICS is subject to the terms, conditions, and disclosures in the applicable agreements. Although deposits are placed in increments that do not exceed the FDIC standard maximum deposit insurance amount (“SMDIA”) at any one destination bank, a depositor’s balances at the institution that places deposits may exceed the SMDIA (e.g., before settlement for deposits or after settlement for withdrawals) or be uninsured (if the placing institution is not an insured bank). The depositor must make any necessary arrangements to protect such balances consistent with applicable law and must determine whether placement through ICS satisfies any restrictions on its deposits.

# How to apply to Karat Banking

To complete your application, you’ll provide information about your business and its owner(s), including:
* Legal name

This information is required to verify identity and comply with federal regulations.
You may apply as an unincorporated sole proprietor if you have not incorporated your business.
International applicants are also eligible if they have a U.S. LLC. If you do not have an SSN, you can apply using your passport information. Non-U.S. applicants will be required to complete an additional document verification process.
Once submitted, your application will be reviewed. In some cases, additional documentation may be requested before approval.

# How to apply for the Karat Card

The Karat Card application process is designed to evaluate your business activity and determine a spending limit that reflects your business.
Applying for the Karat Card does **not** impact your credit score.

## What you’ll provide
To verify your identity and review your application, we’ll ask for:
* Legal name
* Date of birth
* Social Security Number (SSN)
* Business & mailing address
* Business details
* Social media profiles
We use this information to verify identity and contact you if we have updates or follow-up questions.
You’ll be asked to verify your connected social media handles. For certain businesses, this helps us better understand your activity and audience engagement.
## Bank account connection (required)
During the application, you must securely link your primary U.S. bank account through Plaid.
Currently, we can only process applications that have a U.S. based bank account linked.
You can link any account that has a routing number and account number.
If you experience issues linking a bank account that should be supported by Plaid, contact us and we can assist with troubleshooting or discuss an alternative ACH connection.
## How we evaluate applications
Karat takes a broader approach than traditional lenders. When reviewing applications and determining your spending limit, we primarily consider:
* Bank account history, including cash on hand and cash flow patterns
* Social presence and engagement (where applicable)
* Credit profile

Karat evaluates applications holistically. The more complete the picture of your business activity, the more accurately we can assess your eligibility and determine an appropriate spending limit.
To provide a stronger application, we recommend:
* Linking your primary operating bank account
* Connecting any additional U.S. bank accounts that reflect your cash flow
* Verifying your primary social media profiles
* Connecting additional social accounts that represent meaningful audience activity
If your business operates across multiple platforms or accounts, linking them during the application (or immediately after submission) helps us better understand your financial patterns and engagement metrics.
Applications supported by consistent cash flow history and verified business activity may allow for a more comprehensive review.
If you realize after submitting that additional information would better reflect your business, you can return to your dashboard and complete any pending connections.

# Linking your bank accounts

Connecting your bank account is a required step in the application process. It allows us to evaluate your business activity, determine an appropriate spending limit, and set up repayment.
## Connecting through Plaid
We use Plaid to securely connect your bank account during the application process.
Plaid is a financial technology platform used by companies such as American Express and Venmo to authenticate and verify bank accounts. You can learn more at [Plaid.com](http://Plaid.com).
When you connect through Plaid:
* We can review account balances and transaction history
* We can assess your cash flow in real time
* We can enable direct debit repayment
* We can proactively reassess your limit as your business grows
Karat does **not** receive or store your bank login credentials.
Because Plaid provides real-time updates, it allows us to set and adjust your spending limit more accurately, often without requiring additional documentation.
Only U.S. based bank accounts are supported via Plaid for underwriting and payments. Foreign bank accounts are not supported at this time.
## ACH connection (alternative)
You may also connect your account using an ACH link by entering your routing and account number.
An ACH connection allows us to: pull funds for repayment.
However, ACH does not provide access to real-time balances or transaction history.
If you request a limit increase while connected via ACH, we may require bank statements to evaluate your request.
## Linking additional accounts
You can connect additional bank accounts at any time.
To add another bank account:
1. Log into your Karat account
2. Navigate to **Settings > Connections**
3. Under Bank Accounts, select **Add another bank**
4. Follow Plaid’s instructions to complete the connection
If your revenue flows across multiple accounts, linking them can:
* Provide a more complete picture of your business activity
* Strengthen your application
* Support higher spending limits
* Reduce the need for manual documentation
**Linking the same bank account across multiple organizations**
If you manage multiple organizations and link the same bank account to more than one organization, Plaid's duplicate account detection may flag this connection. You'll see a warning when attempting to link an account that's already connected to another organization you manage.
While you can proceed with linking the same account to multiple organizations, be aware that this may affect how transaction data is shared and could impact underwriting decisions for each organization.
## Troubleshoot bank linking
If your bank is supported by Plaid but fails to connect:
* Try reconnecting at a later time
* Consider linking your account via ACH instead
If the issue persists, contact our team for assistance.
Plaid connections may occasionally disconnect for security or technical reasons. If your linked bank account shows an error, reconnect it promptly to avoid disruptions to underwriting or payments. We may notify you if a connection issue is detected, and timely resolution is required.

Karat Card does not charge foreign exchange fees on international purchases.
There is no annual fee to maintain the Karat Card.
## Customized rewards
The Karat Card offers customized rewards categories tailored to creator businesses.
When you join, you select categories aligned with your spending. You earn **1 to 3 points per dollar spent**, depending on your selected categories.
Points can be redeemed for: Times Square billboards, custom merch, podcast studio time, creator-focus rewads, and statement credits.
Our rewards are designed around the tools and opportunities creators actually use.
## Custom metal design
The Karat Card is made of stainless steel and can be customized with your logo or design.
When your account is approved, you'll receive a white metal Karat Card by default. You can submit a custom logo or design through your dashboard at any time. After your design is reviewed and approved, your card is laser-engraved and shipped to you.

Karat takes a broader approach to underwriting than traditional lenders.
In addition to credit profile considerations, we review:

When you connect a platform, we receive read-only access. We do not post, manage, or make changes to your accounts, and we do not have access to your login credentials.
For certain platforms, you may be prompted to complete a secure verification flow to confirm ownership. If the verification flow does not work, you can manually enter your platform information and continue with your application.

# Using your Banking Card at ATMs

Your Banking Card can be used at any ATM that accepts Visa.
## Fees
Standard ATM operator fees may apply when withdrawing cash. These fees are charged to your account at the time of the transaction.
If you are a Karat Premium user, eligible ATM fees are reimbursed.
International ATM withdrawals may also be subject to foreign transaction or currency conversion fees.
## PIN access
Your PIN is automatically generated and available in your dashboard.
To view your PIN, go to **Banking > Cards**.
For security reasons, your PIN cannot be changed manually.
## Withdrawal limits
ATM withdrawals are subject to daily limits set on your card. You can view or adjust your card limits from: **Settings > Banking > Banking limits**.
Daily limits reset at 12AM CT.
If your withdrawal is declined, check your available account balance, confirm the card is active (not frozen), and review your daily withdrawal limit.
If you need a higher limit, contact us to request a review.

# Creating cards

Karat offers two types of cards: a Banking Card and a Karat Card to help you manage business spend.
You can issue virtual cards, set spend limits, and manage how funds are used from your dashboard.
Banking Cards are connected to a Karat checking account and pull directly from its available balance. There is no statement and no repayment required. Spending is limited to the cash in the account. Use this to spend cash on hand or withdraw from ATMs.
To create a Banking Card, go to **Banking > Cards > Issue new card**, select yourself or a team member, choose virtual or physical, select which checking account the card should draw from, and set spend limits.
The Karat Card is a corporate card designed for business spend and rewards.
Transactions accumulate throughout your monthly statement period. At the end of each billing cycle, a statement is issued showing your total balance due. The full statement balance must be paid by the due date.
Spending is subject to your organization’s approved limit established during underwriting.
To create a Karat Card, go to **Credit Card > Cards > Issue new card** , select yourself or a team member, choose virtual or physical, and set spend limits.
Virtual and physical cards can be issued for expenses like ad spend, travel for shoots, content production, software, equipment, or contractor payments. **Virtual cards are available for use instantly and can be added to your mobile wallet right away.**
Physical cards can be ordered for in-person purchases and are also eligible for mobile wallet use. Contact us if you need a replacement physical card or would like to order one for a team member.

# Account review after late or returned payments

During a review:
* Your Karat Card may remain paused

Once the review is complete, your account may:
* Be restored to active status
* Remain restricted
* Require additional action before reactivation
* Be closed in certain circumstances
We are unable to confirm the outcome of a review until it has been completed.

# Billing cycle and due dates

## Billing cycle
Your Karat Card billing cycle runs from the 1st through the last day of each month.
## Payment due date
Your statement balance is due on the **1st day of the following month**. For example, your February balance is due on March 1.
Payment due dates cannot be changed.
## Autopay timing
Autopay runs automatically on the 1st of each month at 6:00 AM PT and is designed to pay your full statement balance on time.
ACH payments typically take 1 to 3 business days to clear, depending on your bank. Payment status may appear pending until processing is complete.
If you are on the Max Card program, your balance is repaid automatically every day rather than monthly. See [Max Card rewards](/cards/karat-card/max-card-rewards) for details.
## Rescheduling a payment
If you need to adjust your upcoming payment, contact us as soon as possible.
We must be notified at least two business days before the 1st to pause or modify autopay.
In certain situations, our team may approve a new payment date or a structured payment arrangement. Payment arrangements are reviewed case-by-case and must be followed as agreed. Missed payments under an active arrangement may void the agreement.
## Return payments
If a payment fails due to insufficient funds, a closed account, or a bank processing error, your account may be temporarily restricted until the balance is resolved.
Returned payments may also trigger additional account review.

# Deferred payment fee

If your Karat Card statement balance remains unpaid for one month after the due date, a **2% monthly Deferred Payment Fee** will be assessed on the unpaid balance.
If you pay your statement balance in full and on time each month, this fee will not apply to you.
## How the Deferred Payment Fee works
If your full statement balance is not paid by the due date and remains unpaid when the next statement period begins, a 2% fee is assessed on your overdue principal balance.
The fee is calculated as 2% of the remaining unpaid principal balance and does not include previously charged fees. Deferred Payment Fees do not compound and are always calculated only on the outstanding principal balance.
## Payment application
If you owe both an overdue principal balance and Deferred Payment Fees, payments are applied to the overdue principal balance first, then to any Deferred Payment Fees.
Partial payments do not prevent a Deferred Payment Fee. To avoid the fee, your full statement balance must be paid by the due date.
## Credit impact
The Deferred Payment Fee itself does not directly affect your credit. However, late or missed payments may be reported to credit bureaus and could impact your credit score.

# How to redeem rewards

Redeem Karat Card points in the Rewards Shop for statement credits, merchandise, and billboards, and track balances from your rewards page.
## Navigating the rewards page
The rewards page is organized into three tabs:
* **Overview**: View your redeemable and pending points, rewards categories, and reward history
* **Rewards Shop**: Browse and redeem available rewards including billboards, merchandise, and statement credits
* **Referral Program**: Share your referral link, send invitations, and track referral status and points earned from successful referrals
To access the rewards page, go to **Credit Card > Rewards** in your dashboard.
## Redeeming rewards
Navigate to **Credit Card > Rewards** and select the **Rewards Shop** tab. You will see a grid of available reward items.
Click any reward card to open a details panel on the right side of the screen. Here you can view images, a description of the reward, and how many points are required.
If you have enough points, click **Redeem** to confirm. A success screen confirms your redemption and shows your updated points balance.
Earned rewards do not expire.
## Redeeming statement credits
Statement credits let you apply points directly to your Karat Card balance.
In the **Rewards Shop**, click the statement credit reward card to open the details panel.
Type the number of points you want to redeem. The panel shows your available points and the equivalent dollar amount in real time.
Click **Redeem** to apply the credit. Statement credits are automatically applied to your Karat Card balance.

# Karat Card rewards basics

How Karat Card points work: earning on eligible purchases, pending vs. redeemable points, foreign transaction exclusions, and rewards programs.
Karat cardholders earn points on eligible purchases, redeemable for statement credits, merchandise, billboards, and more. Points don't expire. Every dollar spent on a settled eligible purchase earns at least 1 point, and your rate increases based on your rewards program.
Karat currently offers two rewards programs: [**Standard Card** ](/cards/karat-card/standard-card-rewards)and [**Max Card**.](/cards/karat-card/max-card-rewards)
## Pending vs. redeemable points
Rewards are earned on settled transactions, pulled daily. Points appear as pending for up to 30 days before becoming redeemable. In your rewards dashboard you will see redeemable points and pending points (earned but not yet redeemable).
## Foreign Transactions
Foreign transactions do not earn rewards. This includes purchases processed outside of the U.S. or transactions made in a foreign currency, even if the merchant is based in the U.S.
# Making a Karat Card payment

## Submitting a manual payment
To make a payment:
1. On the Card dashboard, click **make a payment**
2. Enter the payment amount
3. Select the bank account the payment should be processed from
## Updating autopay bank accounts
To change the bank account used for monthly repayment:
1. In the Karat dashboard, go to **Settings > Credit Card**
2. Locate the **Autopay Account** section
3. Use the dropdown to select a different linked bank account
Changes will apply to future autopay withdrawals.
If your desired account is not listed, you may need to link it first under **Connections**.
Max Card members manage two autopay accounts — a **primary** and a **backup** — from the Karat Max section of the rewards page. To update either account:
1. Go to the **Karat Max** section on your rewards page
2. Open the autopay selection modal
3. Choose a bank and account for your **primary autopay** (set this to Karat Banking for 3x rewards)
4. Choose a bank and account for your **backup autopay** (used when your primary has insufficient funds)
You can also connect a new bank account directly from the modal. For more details on how autopay affects your reward rate, see [How to earn rewards](/cards/karat-card/how-to-earn-rewards).
You cannot set Karat Banking as both your primary and backup autopay account. If you already selected it as your primary, choose a different bank for backup.
#### Setting Karat Banking as autopay before approval
If you have applied for Karat Banking but your application is still being reviewed, you can pre-select Karat Banking as your primary or backup autopay account.
When you open the autopay modal, Karat Banking appears as an option with a **Pending** badge. Select it and confirm your choice. Your preference is saved automatically, and Karat Banking will be set as your autopay account as soon as your application is approved — no further action is needed.
## What happens if your autopay bank connection is deleted
If the bank connection used for autopay is invalidated, autopay is automatically paused. You will see a red warning banner when you open **Connections** indicating that the autopay connection needs attention.
To resume autopay:
1. Go to **Settings > Connections**
2. Select the bank marked with a red error icon
3. Click **Connect \[bank name]** to create a new connection through Plaid
4. After connecting, select a checking account to use for autopay
You can also switch autopay to a different already-connected bank under **Settings > Credit Card**.
Reconnect your bank promptly to avoid missed payments. If autopay remains paused through a billing cycle, you may need to submit a manual payment to stay current.

## Setting up autopay accounts
When you activate Karat Max, you set up two autopay accounts in a guided flow:
1. **Primary autopay account** — the account used for daily repayment. Set this to your Karat Banking account to earn 3x rewards.
2. **Backup autopay account** — a fallback account that kicks in when your primary account has insufficient funds. Using a backup external bank earns 2x on that day's spend.
You can configure both accounts from the **Karat Max** section of your rewards page. Select a bank from the list, then choose which account to use for each role.
### Pre-selecting Karat Banking before approval
If you've applied for Karat Banking but haven't been approved yet, you can still pre-select it as your primary autopay account during setup. Once your application is approved, Karat Banking will automatically be set as your primary autopay account. Until then, daily repayment runs from your backup account.
## Karat Banking and the 3x rate
To earn the full 3x, your daily autopay must pull from your Karat Banking account. If your Karat Banking balance is insufficient on a given day, repayment will pull from your backup account instead, and you will earn 2x on that day's spend.
Funding deposits to Karat Banking take several business days to clear, so make sure your account is funded before daily autopay begins.
## Grace period
When you first opt in, you have a 7-day window to fund your Karat Banking account and set it as your autopay account. You will still earn your full reward rate during this time, as long as daily repayment runs successfully from your external bank account.
## Failed payments
If autopay does not process successfully, you will earn 0x on that day's settled spend.
If your balance remains unpaid at the start of the following month, your account may be subject to card restrictions, deferred payment fees, and collections activity. See [What happens if I don't repay my balance](https://help.trykarat.com/cards/karat-card/what-happens-if-i-dont-repay) for full details.
## Why am I being charged every day?
Max Card members are charged daily for their settled spend. This is different from the Standard Card, which bills once a month. If you are seeing daily charges on your bank account, this is expected behavior.

# Request a credit limit increase

You can request a credit limit increase directly from your Karat Card dashboard. The process walks you through three steps: reviewing your connected bank accounts, setting your target limit, and submitting for review.
## How to request a limit increase
1. Go to **Credit Card > Cards** and select **Request New Spending Limit**
2. Review the overview of what the process involves, then select **Review my banks**
3. Review your connected bank accounts. You can add new bank connections or refresh any that are expired or outdated. When you're ready, select **Continue**
4. Enter the monthly spending limit you'd like to request, then select **Submit request**
After submitting, you'll receive a confirmation that your request has been received. A decision is typically available in your dashboard within 3 to 5 business days.
Connecting more bank accounts through Plaid gives our team more financial data to work with, which can increase the likelihood that your request is approved. If your revenue flows through multiple accounts, consider linking them all before submitting.
## Why you're asked to review bank connections
As part of the limit increase request, you're prompted to review and manage your connected bank accounts. This step helps ensure our underwriting team has access to current financial data when evaluating your request.
During this step, you can:
* View all currently connected banks and accounts
* Add a new bank connection through Plaid
* Refresh a connection that has expired or become outdated
You can also manage your bank connections at any time under **Settings > Connections**. For more details, see [Manage connected bank accounts and social accounts](/account-settings/manage-connected-bank-accounts-and-social-accounts).
## When limit increase requests may be restricted
Limit increase requests are subject to eligibility requirements and may not always be available. You may be unable to submit a request if:
* You have submitted a limit increase request or received a limit adjustment within the past two months
* You have an unacknowledged account notification
* Your account has a past-due balance
* You have an inactive card
To improve eligibility for future increases, ensure all relevant bank accounts are connected and maintain consistent, on-time repayment history.

# Standard Card rewards

Standard Card members earn **1 to 3x points** in three categories of their choice. Most categories earn 3x points, while some earn 1 to 1.5x.
## Choosing your categories
You can select three reward categories when you join the Karat Card. These categories determine where you earn elevated points on your spend. Below are the categories you can choose from.
## Changing your categories
Rewards categories can be updated **every six months**. To make a change, visit your card rewards page in the dashboard. We do not support custom categories beyond those offered.
## How merchant categories affect your rewards
Rewards are based on the merchant's category code (MCC), assigned by the Visa network. Transactions are categorized by the merchant, not by individual items purchased, so a purchase may not qualify if the merchant is not coded within your selected category. Rewards also cannot be split across items within a single transaction.
Merchant codes are assigned by Visa and outside of our control, so purchases may occasionally be categorized unexpectedly. For example, a computer purchased through Amazon may appear as a bookstore transaction.

# What happens if I don’t repay my balance

If you’re experiencing financial difficulty, we encourage you to contact our team as soon as possible. Reaching out early may help prevent additional fees or account restrictions.
If your statement balance is not repaid, the following may occur.
## Deferred payment fees
If your statement balance remains unpaid one month after the due date, a 2% monthly Deferred Payment Fee will be assessed on the unpaid principal balance.
* Fees do not compound
* Fees continue to accrue monthly until the overdue principal is repaid
* Partial payments do not prevent fees if the full statement balance is not paid
## Card restrictions
If your payment fails or your balance remains unpaid:
* Your account may be declined for new purchases
* Your credit line may be reduced or suspended
* Certain account features may be limited
Restrictions may occur immediately following a missed payment.
## Account suspension or closure
If the balance remains unpaid for an extended period:
* Your Karat Card will be suspended or closed
* Your credit line will no longer be available
* You will remain responsible for repaying the full outstanding balance
* Deferred Payment Fees will continue to accrue on unpaid principal
## Credit reporting
Missed payments will be reported to credit bureaus.
Late payments and charge-offs can negatively affect your credit profile and may remain on your credit report in accordance with applicable laws.
## Collections
If a balance remains unpaid, Karat will take steps to recover the amount owed. This may include working with you directly or engaging third-party service providers, as permitted by law.
## How to avoid these consequences
To keep your account in good standing:
* Pay your full statement balance by the due date
* Ensure your autopay account has sufficient funds
* Contact us before your due date if you anticipate difficulty
If you’re unable to make a payment, reach out as soon as possible.

# Physical card production and shipping

Once your application is approved, we'll begin preparing your card for shipment. You can track each stage of the process — from production through delivery — and you'll receive email updates along the way.
Virtual cards for both Banking and the Karat Card are available instantly and can be used immediately after issuance. The information below applies to physical cards only.
## Banking Cards
Banking Cards are standard business cards connected to your checking account.
Once issued, physical Banking Cards are shipped to the address on file. Delivery timelines may vary slightly depending on processing time and holidays.
## Karat Card
The Karat Card is made of stainless steel and is available in black or white.
By default, you'll receive a white metal Karat Card when your account is approved. This card ships automatically to the mailing address on your account — no additional steps are required.
If you'd like to customize your card with a logo or design, you can submit one through your dashboard. Our team will review the submission, and once approved, your card will be laser-engraved with the custom design. If a custom design is still pending review when your card is issued, you'll receive the default white metal card first and can request a replacement after your design is approved.
Karat Cards typically arrive within **8 to 10 business days** after your account is approved. Shipping timelines may vary depending on production volume or holidays.
## Tracking your shipment
After your physical card enters production, you'll receive email notifications at key stages:
* **Card shipped** — your card has left the production facility and is on its way. This email includes your estimated delivery date.
* **Card delivered** — your card has arrived at the address on file.
If your card is returned or delivery fails, please reach out to us.
## Shipping address
Your card is shipped to the mailing address on your account. Make sure this is a valid physical U.S. address — P.O. boxes are not supported for card delivery.
To update your mailing address before a card ships, go to **Settings** in your dashboard.
## Activating your card
Physical cards must be activated before they can be used. You'll receive activation instructions when your card is delivered.
Once activated, your card is ready for purchases. You can confirm your card's status in the appropriate section of your dashboard:
* **Banking > Cards** for the Banking Card
* **Credit Card > Cards** for the Karat Card

# Replace, freeze, or cancel a card

If a card is lost, stolen, or no longer needed, update its status immediately to prevent further transactions.
## Freeze or cancel a card
2. Navigate to **Banking** or **Credit Card > Cards**
3. Under the **Status** column, locate the affected card
4. Toggle the card status to deactivate (freeze) or cancel
Freezing temporarily disables new transactions and can be reversed at any time.\
Canceling permanently closes the card and cannot be undone.
Freezing or canceling a card prevents new transactions but does not cancel past posted transactions.
## Replacing a card
### Virtual cards
Virtual cards can be replaced instantly from your dashboard.
First freeze or cancel the existing card. Then go to: **Banking** or **Credit Card > Cards > Issue new card**.
Select the cardholder, choose virtual, and set spend limits.
### Physical cards
Physical cards require a new shipment.
Freeze or cancel the existing card first. Then contact us to request a replacement. A new physical card will be issued and shipped to the cardholder.

# Why was my card declined

A card transaction may be declined for several reasons. Karat maintains fraud and risk monitoring systems designed to protect your account, and certain transactions may be blocked if they are flagged for review.
If your transaction was declined, review the following common causes.
## 1. Fraud or risk monitoring
Karat uses automated fraud and risk detection systems to monitor activity. If a transaction appears unusual based on location, merchant type, transaction size, or recent account activity, it may be declined to protect your account.
If a transaction is flagged for potential fraud, you may receive a notification prompting you to review the activity.
## 2. Card status
Confirm that your card is active in your dashboard. Transactions will be declined if the card is frozen or canceled.
You can check this under: **Banking** or **Credit Card > Cards**
## 3. Insufficient funds (Banking Card)
For Banking Cards, transactions are limited to the available balance in your checking account. If the transaction would result in a negative balance, it will be declined.
## 4. Limit restrictions
Transactions may be declined if they exceed:
* Your daily card limit (for the Banking Card)
* Merchant-specific controls
* Your organization’s approved spending limit (for the Karat Card)
You can review card limits from the Cards dashboard.
## 5. International or restricted merchants
Some international transactions, merchant categories, or high-risk industries may be restricted depending on account settings.

# Authentication

Authenticate requests to the Karat Payout API by passing your API key as a bearer token, and manage keys from the Karat dashboard.
The Payout API authenticates every request with an API key passed as a bearer
token. Requests without a valid key return `401 Unauthorized`.
## Generate an API key
API keys are managed from your Karat dashboard under **Settings**. From there
you can:
* Generate a new key
* View your existing keys
* Revoke a key that may have been compromised
Your API key is shown only once at creation time. Copy it and store it
somewhere secure immediately — you can't retrieve it again later.
## Authorize requests
Include your key in the `Authorization` header as a bearer token on every
request:

## Storing keys securely
* Never commit API keys to source control or embed them in client-side code.
* Load keys from environment variables or a secrets manager.
* Use separate keys for sandbox and production.
* Rotate keys periodically, and revoke any key that may be exposed.
Each key is scoped to the organization and user that created it. Revoking a
key takes effect immediately for all future requests.

# Fee reporting

Understand payment-level fee breakdowns and aggregate fee analytics in the Karat Payout API.
The Payout API exposes fee reporting in two places:
* Every payment returned by [`GET /payments`](/api-reference/payments/list-payments) or [`GET /payments/{payment_id}`](/api-reference/payments/get-a-payment) includes a `feeBreakdown`.
* [`GET /payments/fees/analytics`](/api-reference/payments/get-fee-analytics) aggregates completed payments over a date range.
All monetary values are expressed in integer cents unless a field explicitly represents a percentage or average.
## Payment-level fee breakdowns
Use `feeBreakdown.status` before reading the amount fields.
| Status | Meaning |
| ---------------- | ------------------------------------------------------------------------------------------------------------------------------ |
| `RESOLVED` | Karat found an authoritative fee and fee owner. Amount fields contain numbers, including `0` for a legitimate zero-dollar fee. |
| `PENDING` | The payment has not reached a terminal state, so its final fee is not available yet. Amount and owner fields are `null`. |
| `UNRESOLVED` | The payment completed, but Karat could not yet resolve an authoritative fee record. Amount and owner fields are `null`. |
| `NOT_APPLICABLE` | The payment failed or was canceled. Amount and owner fields are `null`. |
Do not treat a `null` fee as `$0.00`. A resolved zero-dollar fee has `status: "RESOLVED"` and `totalFeeCents: 0`.
For resolved fees:
* `payerFeeCents` is the portion paid by your organization.
* `recipientFeeCents` is the portion deducted from recipient proceeds.
* `paidBy` identifies the fee owner as `PAYER` or `RECIPIENT`.
* `feePercentageOfPaymentAmount` equals `totalFeeCents ÷ payment.amount × 100`.
The `rail` field uses a stable category such as `ACH`, `REAL_TIME_PAYMENT`, `INTERNAL`, `WIRE`, `INTERNATIONAL`, `CRYPTO`, `PAYPAL`, or `OTHER`.
## Aggregate fee analytics
Request analytics with an inclusive start and end date:

The endpoint uses these rules:
* Dates are interpreted as UTC calendar days and returned as normalized UTC timestamps.
* The range includes completed, non-external Karat payments whose completion time falls within the range.
* A request can span at most 366 days.
* `paymentVolumeCents` is gross completed payment volume, including zero-fee payments and payments whose fee is unresolved.
* `totalFeeCents` includes resolved fees only.
* `feePercentageOfVolume` equals `totalFeeCents ÷ paymentVolumeCents × 100`.
* `averageFeeCents` equals resolved fees divided by all completed payments in the range.
* `payerFeeCents` and `recipientFeeCents` show who bore the resolved fees.
* `resolvedPaymentCount` and `unresolvedPaymentCount` make the denominator and any incomplete fee resolution visible without changing payment volume.
The same definitions apply to each item in `rails`. Trend points split fees by payer and recipient and also include their combined total.
Fee analytics is released gradually. An organization outside the current rollout receives `403 Forbidden`; contact your Karat representative if you need access.
## Empty ranges
When no completed payments fall in the selected range, the endpoint returns a successful response with zero-value summary metrics, zero-value trend buckets, and an empty `rails` array. This lets integrations render a stable empty state without interpreting a `404` as no activity.
# Idempotency

Use idempotency keys to safely retry Karat Payout API batch requests after network errors without creating duplicate payments or recipients.
Network errors and timeouts can leave you unsure whether a request succeeded.
Idempotency lets you retry write requests safely: replaying a request with the
same key returns the existing batch instead of creating a duplicate. For
`POST /payments`, a replay returns the existing `batchId` with an empty
`payouts` array rather than repeating the original response payload.
## Using idempotency keys
For batch creation endpoints, include an `idempotencyKey` in the request body:

Endpoints that support an `idempotencyKey`:

* [`POST /external-payments`](/api-reference/external-payments/create-external-payments) — batch-level key, plus an optional per-payment `idempotencyKey`
## Behavior
* Choose a unique key per logical operation (for example, a UUID or a stable
identifier from your own system).
* Reuse the **same** key when retrying the **same** request.
* The first accepted `POST /payments` request for a key establishes the batch's
source account. Reusing that key with a different `sourceAccountId` does not
switch the account.
* If you omit the key, the API generates one per request, so retries are **not**
deduplicated — always supply your own key when retry safety matters.
Idempotency keys are most useful when paired with a retry strategy: on a
timeout or `5xx`, retry with the same key using exponential backoff with
jitter, and stop after a bounded retry window to avoid retry storms.

All amounts in the Payout API are integers in the smallest currency unit (cents). For example, `$250.00` is `25000`.
# Pagination & errors

## Pagination
Paginated list endpoints use offset-based pagination with two query parameters:

Every paginated list response includes a `meta` object with the total count so you can
page through results:

To fetch the next page, increase `offset` by your `limit` (for example,
`?limit=100&offset=100`).
[`GET /accounts`](/api-reference/account/list-payout-source-accounts) is not
paginated. It returns all eligible payout source accounts in a `data` array
without a `meta` object.
### Filtering
Some list endpoints accept filters. For example,
[`GET /payments`](/api-reference/payments/list-payments) supports `recipientId`,
`batchId`, `referenceId`, `isReimbursement`, and `sourceAccountId`.
## Status codes
The API uses standard HTTP status codes:

Once sandbox is enabled on your account, you can use a set of pre-configured
**test recipients**. Sending a payout to one of these email addresses drives the
payout to a specific outcome.

## Simulate recipient onboarding milestones
These recipients instantly trigger a [`recipient.updated`](/developers/webhooks)
webhook with the corresponding `status`. The webhook fires in two situations:
when you **create** a recipient with one of these emails, and when you **send a
payout** to one:

Unlike real onboarding — where each milestone is sent at most once per
invitation — sandbox milestone recipients fire the webhook every time, so you
can re-test your handler freely.
## Recipient profiles in sandbox
Sandbox recipients are simulated and never go through real onboarding, so they
have no tax information of their own. To let you exercise the full response
shape, [`GET /recipients`](/api-reference) and `GET /recipients/{id}` return a
placeholder `profile` for them instead of `null`:

The names mirror the ones you created the recipient with; the rest of the
placeholder is fixed. In production, `profile` stays `null` until the payee
completes onboarding, and `businessType` reflects whether they registered as an
`individual` or an `entity`.
## Simulate errors
Send a payout to one of these recipients to trigger a specific error:

Subscribe to Karat Payout API events, verify webhook signatures with your signing secret, and react to payout and tax form updates in real time.
Webhooks let you receive notifications when payout activity happens — without
polling. You subscribe a callback URL to an event type, and Karat sends an HTTP
`POST` to that URL whenever the event occurs.
## Subscribe to an event
Call [`GET /events`](/api-reference/webhooks/list-event-types) to list the event
types you can subscribe to.
Call [`POST /events/subscription`](/api-reference/webhooks/create-a-webhook-subscription)
with the `event_name` and your `callback_url`. The response includes a
`secret` — store it to verify future deliveries.
Respond with a `2xx` status so Karat knows the event was received.

## Secret generation
Karat generates a unique signing secret when you create a subscription. The
secret is returned **only once** in the create subscription response — store it
securely so you can [verify deliveries](#verify-webhook-signatures).
## Handshake verification
When creating a subscription, the API verifies ownership of the callback URL by
performing a challenge-response handshake. Your server must handle this before
the subscription is accepted.
The API sends a `POST` request to your `callback_url` with a JSON body:

### `recipient.updated`
Sent as a recipient moves through onboarding. The `status` field carries the
milestone:

Each milestone is sent **at most once per onboarding invitation** — repeating a
step (for example, re-signing a tax form) does not produce another event. The
`tax_info_collected` event is **never sent for recipients you configured with
tax collection disabled**; those recipients go straight from
`onboarding_started` to `onboarding_completed`.

`first_name`, `last_name`, and `nickname` are nullable. `date` is the ISO-8601
timestamp of when the milestone occurred.
`business_type` reports whether the recipient registered as an `individual` or
an `entity`. It is `null` until the recipient's tax information has been
collected and shared with you — expect `null` on `onboarding_started` and a
value from `tax_info_collected` onward. It matches
[`profile.businessType`](/api-reference) on the recipients endpoints; sandbox
recipients always report `individual`.
## Verify webhook signatures
Every delivery is signed so you can confirm it came from Karat. Verify the
signature before processing the payload.
Each request includes these headers:

The signature is an **HMAC-SHA256** of `timestamp + "." + raw_body`, keyed with
your subscription `secret`, then base64-encoded:

To verify a delivery:
Use `X-Karat-Subscription-Id` to find the `secret` you stored when creating
the subscription.
Reject deliveries where `X-Karat-Webhook-Timestamp` is outside a ±300 second
window to protect against replays.
Recompute the signature from the **raw** request body and compare it to the
value in `X-Karat-Signature` using a constant-time comparison.
Use `X-Karat-Webhook-Id` (and the `id` in the body) to ignore duplicate
deliveries.

Compute the signature over the exact raw bytes you received, before any JSON
parsing or re-serialization — reformatting the body will change the signature.
If verification fails, return a non-`2xx` response and do not process the event.
## Delivery
* Deliveries are sent asynchronously and retried on failure.
* Always return a `2xx` response quickly; do heavy processing out of band.

# Add funds to your account

To begin using your Karat account, you’ll need to fund your checking account.
From your dashboard, go to **Banking > Move money > Add money**. If you have multiple checking accounts, you’ll be prompted to select which account should receive the funds. This will open your available funding options.
Your account and routing numbers are available on your Banking homepage or on each individual account page. If a bank name is required, use `Grasshopper Bank N.A.`
If you’ve already connected an external bank account through Plaid, the fastest way to transfer funds is to use that connection.
Under **Using a connected bank account**, select the bank you’ve linked, enter the amount, and confirm the transfer.
Transfers initiated through a connected bank typically take 1 to 3 business days to fully settle.
If you haven’t linked a bank yet, you can select Link your checking account and follow the Plaid flow to securely connect your external account.
You can also move funds into Karat by initiating a transfer from your external bank using your account and routing numbers.
Under **Account Info**, you’ll see your account number and routing number.
You can provide these details to your external bank to push funds into your Karat Checking account.
ACH transfers typically take 1 to 3 business days to process, depending on the sending bank.
For larger or time-sensitive transfers, you can use a wire transfer.
Under **Account Info**, you’ll see your account number and routing number.
Wires sent before the sending bank’s cutoff time are usually received the same business day. Wires sent after cutoff are typically received the following business day.
You can use your account and routing numbers to receive recurring deposits from platforms, payroll providers, or payment processors. See [here](/set-up-direct-deposit) for instructions for creator platforms.
Once set up, funds will automatically be deposited into your Checking account on the scheduled payout date.
If you use Karat Invoicing, client payments are deposited directly into your Checking account once processed.
Anyone with a Karat Banking account can also send you funds instantly through a Karat transfer.
## Processing times and availability
Processing times vary depending on the deposit method. While wires are typically the fastest option, ACH transfers may take several business days to fully settle.
In some cases, funds may not be immediately available for outgoing payments until fully processed.
If you’re expecting a deposit and don’t see it, confirm:
* The payment was sent using the correct details
* The sending bank’s cutoff time
* The expected processing window

# Connect your accounting software

Karat easily connects to your payment stack and accounting tools to help you streamline operations. Follow the steps below to integrate Karat with QuickBooks Online.
* On the left panel, select "Accounting"
* Then, select "Bank transactions" at the top
* Click "Link account"
Click "Sign in" and provide your Karat account login credentials or sign in with Google.
In order to connect to Quickbooks, you must have admin permissions in the Karat account you are looking to connect.
If you belong to multiple organizations, you will be asked to "select which organization" you want to connect. Choose the organization whose accounts you'd like to share with QuickBooks, then continue.
We suggest you select "All current and future Karat accounts" to ensure that you share all account details with QuickBooks even if you later open new accounts with Karat.
Karat Banking Checking and ATP Checking accounts are "checking" account types.
Karat Card is a "credit card" account type.
Your Karat transactions are in Quickbooks. Navigate to **Bookkeeping > Transactions > Banking** on Quickbooks to see all your transactions.

# Start spending with your card

Before you begin spending, it’s helpful to understand how Karat accounts and cards are organized in your dashboard.
*Karat Banking*
Karat Banking includes two account types: a Checking account and a Tax ATP account. Your Checking account is your primary operating account. Deposits arrive here, payments are sent from here, and Banking Cards spend directly from this balance. The Tax ATP account is optional and helps you automatically set aside money for taxes by transferring funds from Checking into Tax ATP.
In your dashboard, Banking Cards are managed under **Banking > Cards**.
*Karat Card*
Karat Credit is a separate product. The Karat Card requires a separate application and approval process. If approved, spending on the Karat Card draws from your available credit line (not from your Checking account) and follows a monthly billing cycle.
In your dashboard, the Karat Card is managed under **Credit Card > Cards**.
To begin spending, make sure your Checking account is funded for Banking Cards, or that your Karat Card application has been approved and activated.
## Activate your card
Physical cards must be activated before they can be used. You’ll receive activation instructions when your physical card is delivered.
Virtual cards do not require activation and can be used immediately after they are issued.
If you’re experiencing issues with a card, confirm that it shows as active in the appropriate section of your dashboard:
* **Banking > Cards** for the Banking Card
* **Credit Card > Cards** for the Karat Card
## Spend with your card
Once activated, you’re ready to begin spending.
If you’re using a **Banking Card**, purchases draw directly from your available Checking account balance. Transactions appear in real time under Banking > Cards , where you can review activity and monitor spend by cardholder. If your balance is insufficient, transactions may be declined until additional funds are added.
If you’re using the **Karat Card**, purchases draw from your approved credit line, not from your Checking account. Spending accumulates toward your statement balance and follows a monthly billing cycle. You can monitor available credit, current spend, statement balance, transactions, and rewards under Credit Card in your dashboard.

# Inviting teammates to your account

## How roles work
Karat supports four primary user roles with different access levels across Card and Banking.
Users can hold different roles for different products. For example, a user may be a Manager for Banking and an Employee for Card.
The exception is the Admin role. An Admin always has full account access across all products.
## User role types
**Admin**\
Full access to all products, settings, and team management across the entire account.
**Manager**\
Broad access within assigned products, including transaction review and approvals.
**Employee**\
Limited access within assigned products, typically restricted to their own activity and subject to transaction limits or approval workflows.
**Accountant**\
Read-only access to financial data for bookkeeping and reporting purposes.

## Inviting a team member
To invite a new team member: **Settings > Manage team > Invite member**
You will need their name and email address.
### If the user already has a Karat account
If the email address is already linked to a Karat account, the user receives an invitation to join your organization. When they next log into their dashboard, they'll see a prompt to accept the invitation.
After accepting, a new profile is created for them within your organization while keeping their existing login credentials. Your organization appears in their organization switcher, and they can move between organizations at any time without logging out.

### If the user is new to Karat
If the email address isn't linked to an existing account, the user receives an email invitation to create a Karat account. Once they sign up, they're automatically added to your organization.
## Changing a team member's role
To update a user's role: **Settings > Manage team > ••• > Edit role**
If a role is upgraded: the user may be prompted to agree to additional terms before gaining access.
If a role is downgraded: access is reduced immediately. Existing account activity is not disrupted.
All role changes trigger an email notification to the user and all Admins.
## Removing a team member's access
To remove a user's access: **Settings > Manage team > ••• > Remove Access**

# Managing multiple checking accounts

You can create up to five checking accounts within your Karat Banking organization. Multiple accounts help you separate funds by purpose, such as operations, marketing, or payroll, while keeping everything accessible from a single dashboard.
## Who can create accounts
Only organization admins can create additional checking accounts. Team members with other roles can view and transact from accounts they have access to, but cannot create new ones.
## Creating a new checking account
1. Go to **Banking** and click **Create account** next to the Move Money button.
2. Enter a name for the account (up to 24 characters), such as "Operations" or "Marketing."
3. If you have Automatic Tax Planning (ATP) enabled, choose whether income deposited into this account should be included in your tax savings allocation.
4. Click **Create account**.
Your new account appears in the accounts list and has its own account and routing numbers. You can start using it immediately.
## Navigating between accounts
Your Banking dashboard includes an **Overview** that shows the combined balance across all accounts, along with a list of each account and its individual balance. Click any account to see its transactions, cards, and details.
Each account view includes the same tabs you see on the main Banking page, including statements and cards associated with that account.
## Funding a specific account
When you add money through **Move Money > Add money**, you can choose which checking account should receive the funds. If you have more than one checking account, you'll be prompted to select the destination before completing the transfer.
You can also set up direct deposits to any of your accounts using the account and routing numbers shown on the individual account page.
## Transferring between accounts
To move funds between your checking accounts (or between a checking account and your ATP account), go to **Banking > Move Money > Send Money > Internal Transfer**. Select the source and destination accounts, enter the amount, and confirm. Internal transfers are processed immediately.
## Cards and accounts
Banking Cards are linked to a specific checking account. When issuing a new card, you choose which account the card draws from. Each card's spending is reflected in the transactions of its associated account.
## Automatic Tax Planning with multiple accounts
If you have ATP enabled, you can choose which checking accounts contribute to your tax savings. When creating a new account, select whether to include it in ATP. You can also update which accounts are included when adjusting your ATP settings.

Your dashboard is the central hub for your Karat account.
When you log in, you’ll see an overview of:
* Your checking accounts and combined balance
* Your Automated Tax Planning (ATP) account (if enabled)
* Recent money in and out
* Active cards
* Credit summary (if approved for the Karat Card)
* Any required actions or alerts
From the left navigation, you can access:
View balances, account details, statements, tax savings, referrals, and Banking Cards.
Send money and manage payouts.
Create and send invoices, manage recipients, and track invoice metrics at a glance.
View financial reports, categorize transactions, and export statements.
Manage your Karat Card, including transactions, statements, cardholders, and rewards.
Access partner benefits and savings.
Manage account details, team access, alerts, connections, and your subscription.
Most actions (issuing a card, sending money, reviewing transactions, or downloading reports) can be completed in just a few clicks.
### Managing multiple organizations
If you belong to multiple organizations, you can switch between them using the organization switcher at the bottom of the left sidebar. Click on your current organization name to see all organizations you have access to and switch between them.
You can also create additional organizations from your dashboard. Each organization maintains its own accounts, cards, and settings, but you use a single login to access all of them.
You only need one set of login credentials to access all organizations you belong to. When you're invited to join another organization or create a new one, you'll continue using the same email and password. Simply switch between organizations using the organization switcher in the sidebar.

# Refer a business and earn rewards

You can earn rewards by referring other businesses to Karat. Karat offers separate referral programs for Karat Banking and the Karat Card. Your referral links and earnings are available directly in your dashboard.
For Banking referrals, go to **Banking** > **Referrals**
For Card referrals, go to **Credit Card** > **Rewards** > **Referrals**
## Karat Banking referrals
When you refer a business to Karat Banking, both you and your referral can earn a **\$100 bonus**.
A Banking referral qualifies once the referred business is approved and meets the required balance threshold. After the balance requirement is satisfied, the bonus is issued to both parties. New customers may also receive a **one-month Karat Premium trial** as part of the referral offer.
## Karat Card referrals
You can refer businesses to the Karat Card by sharing your unique referral link or sending an invitation directly from the Referrals section of your dashboard. The referred business must apply using your link for the referral to be tracked.
A Card referral is considered successful once the business is approved for the Karat Card and completes their first transaction. After both steps are completed, you’ll receive **10,000 points**, and your referral will also receive 10,000 points.
Points can be redeemed for statement credits, merchandise, or other rewards available in the rewards menu.
There is no limit to the number of eligible businesses you can refer. Rewards are issued after approval and the first qualifying transaction, and processing times may vary.

# Set up direct deposit from creator platforms

Karat makes it easy to receive payouts directly from creator platforms and payment providers.
To direct your earnings to Karat Banking, you'll need to update your payout
settings on each platform you use. Find your platform below for step-by-step
instructions.
You'll need your Karat Banking account and routing number before you start.
You can find these in your dashboard under **Banking > Account Info**.
Several platforms including X/Twitter, Kick, Fourthwall, Stan Store, and
TikTok use Stripe to process payouts. If your platform isn't listed below,
look for a "Manage with Stripe" option in its payout settings and follow
the Stripe steps.
1. Go to [google.com/adsense](https://www.google.com/adsense) and sign in.
2. In the left sidebar, click **Payments**, then **Payment info**.
3. Scroll to **How you get paid** and click **Manage payment methods**.
4. Click **Add payment method** and enter your Karat Banking account
details: account holder name, bank name, routing number, and account
number. Double-check for typos.
5. Once added, click **Set as primary** next to your new account.
Depending on your country, AdSense may deposit a small test amount to
verify the account. If prompted, return to AdSense and enter the exact
amount to complete verification.
Payouts are typically issued between the 21st and 26th of each month,
provided you meet the payment threshold.
1. Go to [paypal.com](https://www.paypal.com) and log in.
2. Navigate to **Wallet** (desktop: top navigation; mobile: Menu > Wallet).
3. Click **Link a bank account**. You can link via Plaid or enter your
routing and account number manually.
4. PayPal will send two small test deposits within 1-3 business days.
Once they appear, return to Wallet, click your new account, then
**Confirm**, and enter the deposit amounts.
5. After confirmation, set your new account as the primary withdrawal
method if PayPal hasn't done so automatically.
Several platforms use Stripe for payouts. There are two types of Stripe
accounts depending on your platform.
**Stripe Express** (used by TikTok, Gumroad, Substack, Patreon,
Teachable, Podia, Ko-fi, Fourthwall, and more)
1. Open your creator platform and go to **Payouts** or **Payment
Settings**.
2. Click **Manage with Stripe** or **Access Stripe Dashboard**.
3. In Stripe Express, go to **Settings** and follow
[this guide from Stripe](https://support.stripe.com/questions/update-existing-bank-account-information)
to update your bank account.
**Stripe Standard** (less common)
1. Log in at [dashboard.stripe.com](https://dashboard.stripe.com).
2. Go to **Settings > Bank accounts and scheduling**.
3. Edit your existing account or add a new one. Stripe may ask you to
verify ownership.
1. Go to [patreon.com](https://www.patreon.com) and log in.
2. Click your profile photo, go to **Settings**, then **Payouts and
taxes** in the left sidebar.
3. Click **Edit** next to your current payout method.
4. Remove the old method if needed, then select **Add a new payout
method**.
5. Choose **Direct Deposit** (U.S. only) and enter your account type,
routing number, account number, bank name, and address.

Payouts typically occur on the 5th of each month or on demand depending
on your settings.
Kick uses Stripe for payouts.
**Option A: Via Kick's interface**
1. Sign in to Kick and go to **Creator Dashboard > Revenue**.
2. In the setup flow, navigate to Step 7: **Select an account for
payouts**.
3. Enter your new routing number, account number, account type, and
currency, then click **Save > Agree & Submit**. A confirmation email
from Stripe will follow.
**Option B: Directly in Stripe**
1. Log in to your Stripe Dashboard and go to **Settings > Bank accounts
and scheduling**.
2. Click **Edit** next to your payout account. You may need to verify
via email, SMS, or your previous bank details.
3. Enter your new bank details and save.
Any payout already in transit will go to the old account. Future
payouts will use the new one.
X uses Stripe Express for payouts.
1. Log in at [x.com](https://x.com).
2. Click your profile picture, select **Monetization**, and choose your
enrolled program.
3. Click **Payout Settings** or **View in Stripe** to open your Stripe
Express dashboard.
4. In Stripe, go to **Settings > Bank accounts and scheduling**, click
**Edit**, enter your new bank details, and save.
Stripe may send a confirmation or require re-verification. Make sure
your account is verified to avoid payout delays.
Fourthwall uses Stripe for payouts.
1. Go to [fourthwall.com](https://fourthwall.com) and sign in.
2. Click your profile icon, then go to **Settings > Payments**.
3. Click **Manage payout settings** to open your Stripe dashboard.
4. In Stripe, go to **Payout Settings > Bank accounts and scheduling**,
then edit your existing account or add a new one.
5. Enter your new bank details and save. Stripe may require
microdeposit or ID verification.
Double-check that your payout schedule is still active after making
changes.
Stan Store uses Stripe for payouts.
1. Go to [stan.store](https://stan.store) and sign in.
2. Click your profile icon and select **Dashboard**.
3. In the left sidebar, go to **Earnings** or **Payout Settings**.
4. Click **Manage with Stripe** to open your Stripe dashboard.
5. Go to **Settings > Payouts and Bank Accounts**, then edit your
existing account or add a new one.
6. Enter your new account number and routing number, then save. Follow
any microdeposit verification steps if prompted.
Instructions vary depending on which TikTok program you use.
**TikTok Creator Fund / Creativity Program**
1. Open TikTok and tap your profile, then the three lines in the
top-right corner.
2. Go to **Creator Tools > Balance > Withdraw**.
3. Tap **Payout Settings** to open your Tipalti or Stripe dashboard.
4. In Tipalti: go to **Payment Method** and update your bank info. In
Stripe: go to **Settings > Bank accounts** and update your details.
**TikTok Shop**

and log in.
2. Go to **Finance > Bank Account**.
3. Click **Edit** or **Replace**, enter your new account details, and

# Automatic invoice payment reconciliation

Track invoice payments automatically with virtual account numbers
Karat can automatically track and reconcile invoice payments when you enable automatic reconciliation for your recipients. Each recipient gets a unique virtual account number that allows Karat to match incoming payments to specific invoices.
## How automatic reconciliation works
When automatic reconciliation is enabled for a recipient:
1. **Unique virtual account number**: The recipient receives a unique account number for sending payments
2. **Automatic payment matching**: When payments are received to that account number, Karat automatically matches them to open invoices for that recipient
3. **Invoice status updates**: Invoices are automatically marked as "paid" when matching payments are received
4. **Email notifications**: You receive email notifications when payments are received or when payment matching needs your attention
## Enabling automatic reconciliation
To enable automatic reconciliation for a recipient:
1. Go to **Banking > Invoices > Recipients**
2. Click on the recipient you want to enable reconciliation for
3. Click the **More** menu (three dots)
4. Select **Enable automatic reconciliation**
Once enabled, the recipient's unique virtual account number will be displayed on all future invoices you send to them.
## Payment tracking
When a recipient has automatic reconciliation enabled:
* Each recipient has a unique virtual account number for payment tracking
* Payments sent to this account number are automatically matched to open invoices
* Invoices update to "paid" status when the full amount is received
* Partial payments are tracked and applied to the invoice balance
## Email notifications
You'll receive email notifications in the following scenarios:
* **Payment received**: When a payment is successfully matched to an invoice and the invoice is marked as paid
* **Ambiguous payment**: When a payment cannot be automatically matched to a specific invoice (for example, if the payment amount doesn't match any open invoice exactly)
When payment matching is ambiguous, you can manually review and apply the payment to the correct invoice.
## Viewing recipient payment accounts
To view a recipient's payment account information:
1. Go to **Banking > Invoices > Recipients**
2. Click on the recipient
3. The payment account status will show:
* The virtual account number (if enabled)
* "Not enabled" (if automatic reconciliation hasn't been set up)

# Creating and sending an invoice

Go to: **Banking > Invoices > Create Invoice**
You'll first select or create a recipient.
* Select an existing recipient by searching by name or email, and click **Continue**
* Add a new recipient by clicking **Add recipient**, then enter recipient name, email, and optional mailing address. Recipient addresses can be domestic or international. Click Add recipient, then Continue.
After selecting a recipient, you can optionally add CC recipients. Toggle **Add CC recipients** to include additional email addresses that will receive a copy of the invoice email and any reminders. Enter email addresses separated by commas or press Enter after each one.
On the Invoice details screen, you can:
* Confirm or edit the invoice number
* Add an optional PO number
* Add line items (description, quantity, unit price)
* Click **Add Line Item** to include more items
The total updates automatically. Click **Continue**.
On the Payment terms screen, you can:
* Set the invoice date and due date
* Add a memo for the payer
* Add payment instructions
If you need to receive payments via international wire transfer, check **Include international wire details**. When enabled, the invoice displays both ACH/domestic wire details and international wire details (SWIFT/BIC code, bank name, and bank address) so recipients outside the US can send payment.
Click **Continue**.
On the Review and send screen, you can:
* Preview the full invoice
* Confirm invoice and due dates
* Review billing and sender details
* Confirm ACH and wire instructions
If the recipient has automatic reconciliation enabled, the invoice will include their unique virtual account number for payment tracking.

# Customizing your invoice template

You can customize your invoice branding and default payment details from your dashboard.
Under **Settings > Banking > Customize**, you can update how your invoices appear to recipients.
## Upload your logo
At the top of the page, you can upload your business logo.
Click **Click to upload** or drag and drop your image file.
Requirements:
* PNG or JPG format
* Maximum file size: 2MB
* Recommended dimensions: 100 to 1000px
Your logo will appear at the top of all invoices you send.
## Update sender details
Under **Sender details**, you can edit your name and email.
The “From name” appears as the business name on your invoices.\
The “From email” is the email address clients will see when invoices are sent.
You can also toggle **Show my address on invoices** if you’d like your business address to appear on the invoice.
## Set default payment text
Under **Default payment text**, you can define standard payment instructions that will automatically appear on new invoices.
Use this field to include payment due terms (e.g. net 30) and any other payment guidance.
Your ACH and domestic wire payment details will automatically populate using your Karat Banking checking account information. When creating an individual invoice, you can also choose to include international wire details (SWIFT/BIC code and bank address) for recipients who need to pay via international wire transfer.
You can also modify payment instructions when creating an individual invoice if a specific recipient requires different details.
### Default payment memo
This field allows you to add a default memo line that appears on invoices.
Example: “Please reference invoice number on payment.”

## Save and preview
After making changes, click **Save defaults**. This will save your template for all future invoices.

# Exporting invoices

Export your invoices from the Invoices page as a CSV file, filtered by date range, status, amount, or recipient, for record-keeping or accounting.
You can export your invoices as a CSV file directly from the Invoices page. The export includes key details for each invoice such as invoice number, status, recipient, amount, dates, and payment instructions.
## Export your invoices
Go to **Banking > Invoices** and click the **Export** button above the invoices table.
Select a preset date range or choose **Custom** to enter specific start and end dates.
Available presets:
* All time
* Last 7 days
* Last 30 days (selected by default)
* Last 3 months
* Last 6 months
* Last year
You can narrow your export using any combination of these filters:
* **Status** — select one or more statuses (Open, Paid, Overdue, Cancelled). If none are selected, all statuses are included.
* **Amount** — set a minimum and/or maximum invoice amount.
* **Recipients** — search and select specific recipients. If none are selected, invoices for all recipients are included.
Click **Export CSV**. Your browser will download a CSV file named `karat-invoices-YYYY-MM-DD.csv`.

Each row in the CSV represents one invoice and contains the following columns:

## What is Karat Invoicing?
Karat Invoicing allows you to create, send, and track invoices directly from your dashboard. Payments are routed to your Karat Banking checking account using automatically populated ACH and domestic wire details. You can also include international wire details on invoices for recipients who need to pay via international wire transfer.
You can find Invoicing under: **Banking > Invoices**
With Karat Invoicing, you can:
* Create and send invoices
* Manage recipients
* Add line items and pricing
* Set due dates and payment terms
* Include international wire details for overseas recipients
* Preview invoices before sending
* Track invoices from your dashboard
* Email invoices directly to your recipients
* CC additional email addresses on invoice emails and reminders

## Invoice metrics
At the top of the Invoices page, you'll see a summary of your invoicing activity broken down into three categories:
* **Total open** — the total dollar amount and number of invoices that are currently awaiting payment.
* **Overdue** — the total dollar amount and number of invoices that are past their due date.
* **Paid** — the total dollar amount and number of invoices that have been paid.
These metrics update automatically when you create a new invoice, mark an invoice as paid, cancel an invoice, or reopen a previously closed invoice. Use them to get a quick snapshot of your outstanding and collected payments without needing to scroll through individual invoices.

# Managing recipients

Recipients are stored separately so you can reuse them on future invoices.
To manage recipients: **Banking > Invoices > Recipients**
From here you can:
* View saved recipients
* Add new recipients
* Edit recipient details
* Enable automatic payment reconciliation for recipients
Recipient addresses support both US and international locations. When an international address is saved, the country name appears on the recipient's details and on any invoices sent to them.
When creating an invoice, you can search and select any saved recipient.
## Automatic payment reconciliation
You can enable automatic payment reconciliation for any recipient. When enabled:
* The recipient receives a unique virtual account number for sending payments
* Payments are automatically matched to their invoices
* Invoices update to "paid" status when payments are received
* You receive email notifications when payments are processed
To enable automatic reconciliation, click on a recipient and select **Enable automatic reconciliation** from the More menu.

Download the Karat app to manage your accounts, cards, and transfers from your phone.
The Karat app gives you access to your Karat accounts from your phone. You can check balances, view transactions, manage cards, and send money — all from a single app.
## Download the app
The Karat app is available on the [App Store](https://apps.apple.com/us/app/karat-financial/id6756500452) for iOS.
## Sign in
Open the app and tap **Sign in**. You'll be prompted to log in with the same credentials you use on your Karat dashboard.
After signing in for the first time, the app will ask you to:
1. **Enable Face ID** (or other biometrics) — this keeps you signed in securely so you don't have to enter your password each time.
2. **Allow notifications** — receive alerts for transfers, card activity, and account updates
If you skip Face ID, you'll be signed out when the app closes and need to log in again each time.
## What you can do
Once signed in, you'll see the following tabs at the bottom of the screen:
* **Home** — view your checking balance, tax savings, social stats chart, credit card summary, and recent transactions
* **Cards** — browse and manage your banking and credit cards
* **Transfers** — add money to your account or send money to others
* **Transactions** — view your full transaction history with filters for banking and credit
The tabs you see depend on your [user role and permissions](/account-settings/user-roles-and-permissions). For example, accountants can view balances and transactions but cannot initiate transfers.

# Managing cards in the mobile app

View card details, freeze or cancel cards, add cards to Apple Wallet, and make credit card payments from the Karat app.
The **Cards** tab lets you view and manage all your banking and credit cards.
## Viewing your cards
Your cards are displayed as visual card previews showing the card type, last four digits, and current balance. If you have both banking and credit cards, use the filter pills at the top to switch between **All**, **Banking cards**, and **Credit cards**.
Tap any card to see its full details.
## Card actions
From a card's detail screen, you'll see a row of action buttons. The actions available depend on the card type:
Tap **Card details** to reveal the full card number, expiration date, CVV, and PIN. Tap any value to copy it to your clipboard.
Tap **Freeze card** to temporarily disable the card. While frozen, new transactions will be declined. Tap **Unfreeze card** to re-enable it.
Tap **Pay card** to make a payment toward your credit card balance. Select the bank account to pay from, enter the amount, and confirm.
Tap **Contact concierge** to open a text message to Karat's support team.
Tap **Cancel card** to permanently deactivate the card. You'll be asked to confirm before the card is cancelled. This action cannot be undone.
## Add to Apple Wallet
On iOS, you can add your Karat cards to Apple Wallet directly from the card detail screen. Tap the **Add to Apple Wallet** button that appears below your card. This works for both banking cards and credit cards.
The button only appears when the card has not already been added to your wallet and when the card is not frozen.
## Spend overview
Below the card actions, you'll see a spend overview showing how much of your limit has been used. For credit cards, this also includes your current balance and last statement balance.

# Managing multiple accounts in the mobile app

View, create, and switch between multiple checking accounts from the Karat mobile app.
You can have up to five checking accounts within your Karat Banking organization. The Karat app shows all of your accounts in one place, and lets admins create additional accounts directly from their phone.
## Viewing your accounts
The home tab shows your **Karat balance**, which is the combined available balance across every account in your organization (checking accounts and your Tax planning balance, if Automatic Tax Planning is enabled).
Below the balance chart, the **Accounts** section lists each account along with its individual balance:
* Checking accounts display the account name (for example, "Primary" or "Operations") and the last four digits of the account number.
* Your Tax planning account, if you have Automatic Tax Planning enabled, appears alongside your checking accounts.
Tap the **Accounts** header to expand or collapse the list.
## Account details
Tap any account to open its detail screen, where you can:
* See the account's available balance and a 30-day balance chart.
* View recent transactions for that specific account. Tap a transaction for the full breakdown.
* For checking accounts, tap **Send** to start a transfer from this account, or **Pay card** to pay your Karat credit card from this account.
* View, copy, or share the account number, routing number, owner name, and address.
## Creating an additional checking account
Admins can create additional checking accounts directly from the app. Other roles can view and transact from accounts they have access to, but cannot create new ones.
On the home tab, expand the **Accounts** section.
The option appears at the bottom of the list when you have fewer than five accounts and your role allows it.
Enter a name up to 24 characters, such as "Operations" or "Marketing." This name helps you identify the account throughout the app.
If your organization has Automatic Tax Planning enabled, choose whether income deposited into this account should be included in your tax savings allocation.
The new account appears in your accounts list with its own account and routing numbers, and you can start using it immediately.
## Adding money to a specific account
When you have more than one checking account, the **Add money** flow asks you to choose which account should receive the funds before you pick the source bank and amount.
Open the **Transfers** tab from the bottom navigation.
Select **Add money** to start a deposit.
Choose which Karat checking account should receive the funds.
Select the linked bank account you're transferring from, or link a new one through Plaid.
Enter the amount, review the details, and confirm.
If you only have one checking account, the destination step is skipped automatically.
## Sending money from a specific account
When you have more than one checking account, every send flow (Karat transfer, ACH, and wire) starts by asking which account the money should come from. The selected account is used for the available-balance check and is shown on the review screen before you confirm.
If you only have one checking account, the source step is skipped automatically.
## Cards and accounts
Banking cards are linked to a specific checking account. Transactions made on a card appear under the account that funds it, and you can review them from that account's detail screen.

# Sending and receiving money in mobile app

Add money to your Karat account or send transfers to others using the Karat app.
The **Transfers** tab lets you add money to your Karat checking account and send money to others.
## Add money
To deposit funds into your Karat account from a linked bank:
Tap **Transfers** in the bottom navigation.
Select **Add money** to open the deposit flow.
If you have more than one Karat checking account, choose which one should receive the funds. This step is skipped if you only have one account.
Choose from your linked bank accounts. If you haven't connected a bank yet, tap **Add new account** to link one through Plaid.
Enter the amount you'd like to transfer, review the details, and confirm.
You can also view each account's details (account number and routing number) from its detail screen to set up deposits from other banks manually. See [Managing multiple accounts in the mobile app](/mobile-app/managing-multiple-accounts-in-mobile-app) for more.
## Send money
The app supports three ways to send money:
Send money instantly to another Karat member at no cost. Search for the recipient by their phone number or email. You can also choose from your recent recipients.
Send an ACH payment to any U.S. bank account. ACH transfers typically take 3–5 business days. Search for an existing recipient or add a new one with their name, routing number, and account number.
Send a domestic wire transfer that arrives within 1 business day. The same recipient setup applies as ACH. Wire transfer fees may apply depending on your subscription plan.
For all transfer types, you'll follow these steps:
1. Select the transfer type
2. If you have more than one checking account, choose which account to send from
3. Search for or add a recipient
4. Enter the amount
5. Review the transfer details and fee (if applicable)
6. Confirm and send
A success screen confirms when your transfer has been submitted.
## Pending transfers
The Transfers tab also shows any pending money movements, including incoming and outgoing transfers that haven't settled yet.

# Add notes to banking transactions

You can add notes to settled banking transactions to keep track of additional context, such as what a payment was for or how it should be categorized.
Notes are visible to other members of your organization who have access to the transaction.
## How to add a note
Go to **Banking** and click on any settled transaction to open its details.
In the **Notes** field at the bottom of the transaction details, type your note. Notes can be up to 140 characters.
Your note saves automatically after you stop typing. A **Saved** confirmation appears briefly to confirm.
## Editing or removing a note
To update a note, open the transaction details and edit the text in the **Notes** field. To remove a note, clear the text. Changes save automatically.
## Who can add notes
Note access depends on your role within the organization:

| **Admin** | Can add notes to any transaction |
| **Manager** | Can add notes to any transaction |
| **Employee** | Can add notes to their own card and transfer transactions only |

# Disputing a transaction

If you purchased a good or service that did not meet expectations, was not delivered, or was incorrectly charged, you may request a dispute.
Disputes are submitted through the Visa network and are subject to Visa’s dispute resolution process.
Karat does not provide separate purchase protection coverage beyond the Visa dispute process. However, our team can assist you in preparing and submitting a dispute to Visa.
Before contacting us, please follow the steps below.
In most cases, the fastest way to resolve an issue is by contacting the merchant directly. Merchants are often willing to issue a refund when you did not receive what you paid for.
We recommend reaching out by email whenever possible, as it creates a written record of your attempt to resolve the issue. If you are unable to reach the merchant on your first attempt, continue trying.
Disputes are more likely to be denied if there is no evidence that you attempted to resolve the matter directly with the merchant.
Check the merchant’s posted refund policy before initiating a dispute.
If the merchant failed to follow their own stated policy, take a screenshot of the policy as evidence. If the merchant acted in accordance with their published refund policy, the dispute is unlikely to be successful.
Resolving the issue directly with the merchant may lead to a better outcome.
For subscriptions or services, review the Terms of Service or cancellation terms.
If the transaction complied with the agreed-upon terms, the dispute may not be successful.
Strong documentation improves the likelihood of a successful dispute.
Helpful evidence includes:
* Email correspondence with the merchant
* Call logs showing attempts to contact the merchant
* Receipts or order confirmations
* Refund policies
* Terms and Conditions
* Contracts or service agreements
* Photos (if applicable)
Provide a detailed explanation of what occurred, including dates and timelines
## Submitting a Dispute
If you’ve made reasonable efforts to resolve the issue directly with the merchant and were unsuccessful, contact us to begin the dispute process. We will:
* Review your documentation
* Submit the dispute to the card network on your behalf
* Notify you once a resolution is reached
In some cases, a temporary credit may be issued while the dispute is under review.
If a temporary credit is not provided, you are still responsible for making at least your required payment by the due date.
Dispute process may take 90 days or more to resolve.

# Manage recurring transfers

You can schedule, edit, or cancel recurring transfers directly from your Banking dashboard.
## Set up a recurring transfer
Navigate to **Banking > Move Money > Send Money**.
Choose your transfer method (Karat transfer, international wire, ACH transfer, or domestic wire).
Enter the recipient and transfer details. Before confirming, toggle **Make this a recurring transfer**. You’ll be prompted to select a start date and choose how often the transfer should repeat. Recurring transfers can be scheduled daily, weekly, monthly, or on a custom cadence.
Review the details and confirm. The transfer will process automatically based on your selected schedule.
## Edit or cancel a recurring transfer
To manage an existing recurring transfer, go to **Settings > Banking > Manage recurring transfers**.
From there, you can update the amount, frequency, or next transfer date, or cancel the recurring schedule entirely. Changes apply to future transfers only.
Recurring transfers must have sufficient available balance at the time of processing. If funds are unavailable, the transfer will not be completed.
## Recurring international wire transfers
Recurring international wire transfers follow the same beneficiary verification requirements as one-time international wires. If the linked beneficiary's verification is still pending when a recurring transfer is scheduled to process, the transfer is held until verification completes.
If a beneficiary is disabled or deleted, any active recurring transfer schedule linked to that beneficiary is automatically canceled. Future scheduled occurrences are removed. You will need to set up a new recurring transfer with a verified beneficiary to resume the schedule.

# Send money from Karat Banking

Karat Banking supports multiple ways to send money
Navigate to **Banking > Move Money > Send Money** to get started.
Note: Transfer limits vary by account. You can view your current limits under Settings > Banking > Banking limits.
Karat Transfers allow you to instantly move funds between Karat Banking members at no cost. To send a Karat Transfer, search for the recipient using the phone number associated with their Karat account.
ACH transfers are free and typically take 3 to 5 business days to complete.
When adding a recipient, the recipient name can include letters, numbers, and spaces. This makes it easier to enter business names that contain numbers (for example, `7Eleven LLC`).
Wires are processed the same business day if initiated before 1:30 PM PT.
Domestic wires are free for Karat Premium members and \$20 per wire for Standard members.

Karat Banking supports international outbound wire transfers in U.S. dollars (USD). You can send international wires directly from your dashboard.
International wires cost **\$40 per transfer**. This fee applies to all account tiers, including Karat Premium. You must have sufficient available balance to cover both the full wire amount and the \$40 wire fee. If sufficient funds are not available, the wire cannot be processed.
### How to send an international wire
Go to **Banking > Move Money > Send Money** and select **International wire** as the transfer method.
Choose a saved beneficiary or add a new one. When adding a new beneficiary, you'll need to provide:
* Beneficiary type — select whether the recipient is an Individual or a Business
* Recipient's full legal name (up to 35 characters)
* Recipient's address (street, city, and country)
* Receiving bank's SWIFT/BIC code (8 or 11 characters)
* Recipient's bank account number
* An optional routing number
After you add a new beneficiary, Karat automatically runs a compliance verification check. This typically completes within seconds, but in some cases may take additional time for manual review.
Each beneficiary displays a verification status:
* **Verified** — the beneficiary passed compliance checks and is ready to receive transfers.
* **Pending** — verification is still in progress. You can still initiate a transfer, but it will be held until verification completes.
* **Disabled** — the beneficiary did not pass compliance checks and cannot receive transfers.
Saved beneficiaries can be reused for future transfers. You can delete a beneficiary at any time, but existing beneficiaries cannot be edited. To update beneficiary details, delete the existing entry and add a new one.
Enter the transfer amount in USD and a description for the recipient (up to 140 characters). The \$40 fee is shown before you confirm.
Review the transfer details, including the recipient, amount, fee, and estimated arrival. Confirm to submit the transfer.
International wires typically take **1 to 5 business days** to arrive. Actual delivery timelines may vary depending on the receiving bank and international clearing procedures.
### What happens if a beneficiary is pending verification
If you send an international wire to a beneficiary whose verification is still pending, the transfer is placed on hold and appears under **Processing (no action needed)** in your activity table. Once the beneficiary is verified, the transfer is automatically submitted. No further action is required from you.
If the beneficiary does not pass verification, any held transfers are canceled and the funds remain in your account.
International wires are sent in U.S. dollars only. Currency conversion, if applicable, is handled by the receiving bank. The \$40 wire fee is charged separately from the transfer amount.

# Switching to Karat Banking

Moving your business banking to Karat is straightforward. Use the checklist below to ensure a smooth transition.
## 1. Open and fund your account
Apply at [app.trykarat.com](http://app.trykarat.com). You'll receive confirmation by text and email once approved.
To fund your account, go to **Banking > Move Money > Add Money** in your dashboard. You can begin using your virtual Banking Card immediately while waiting for your physical card to arrive.
## 2. Update deposits and income sources
Provide your new Karat account details to any platforms or partners that send you payments, such as payroll providers, brand partners, marketplaces, or ad platforms.
Make sure future direct deposits are routed to your Karat Checking account.
## 3. Update recurring payments
Update any services that charge your previous bank account or card. This includes subscriptions, utilities, rent, insurance, software tools, and linked payment platforms such as PayPal or Venmo.

## 4. Transfer remaining funds
Move any remaining balance from your old account once pending transactions have settled. Keep sufficient funds in your old account for 30 to 60 days to avoid missed or delayed charges.
## 5. Monitor and close your old account
After confirming that deposits and recurring payments are successfully routing through Karat, you can close your previous account.

# Transfer funds between Checking and ATP

You can move funds between your checking accounts and your ATP account at any time. If you have multiple checking accounts, you can also transfer between them.
To transfer funds, go to **Banking > Move Money > Send Money > Internal Transfer**.
Select the source and destination accounts, enter the amount you'd like to move, review the details, and click **Confirm**.
Transfers are processed immediately and reflected in both account balances once completed. Ensure sufficient available balance in the sending account before initiating the transfer.

# Transfer processing times and cutoffs

Transfer timing depends on the method used and when the transfer is initiated.
**Karat Transfers** (between Karat members) are processed instantly.
**ACH transfers** typically take 3 to 5 business days to complete. Business days do not include weekends or federal bank holidays.
**Domestic wire transfers** are processed the same business day if submitted before 1:30 PM PT. Wires submitted after the cutoff time, on weekends, or on bank holidays will be processed the next business day.
**International wire transfers** typically take 1 to 5 business days to arrive. Delivery timelines may vary depending on the receiving bank and international clearing procedures.
Transfers initiated on weekends or holidays begin processing on the next business day.

# Update your subscriptions after switching

If you’ve opened a new Karat account or received a new Karat card, update any recurring payments linked to your previous account or card to prevent declined charges or service interruptions.
Follow the steps below to identify and update your recurring payments.
Start by finding all services linked to your old account or card.
**Check these sources:**
* **Bank statements:** Review the last 3 to 6 months for recurring charges.
* **Email inbox:** Search keywords like *receipt*, *subscription*, *invoice*, *renewal*, or *payment confirmation*.
* **App store subscriptions:**
* *iOS:* Settings > Your Name > Subscriptions
* *Android:* Play Store > Profile > Payments & Subscriptions
* **Payment platforms:** PayPal, Stripe, Venmo, Apple Pay, Google Pay, etc.
* **Password managers:** Some track saved payment methods (e.g., 1Password, LastPass).
Organize your subscriptions with a simple table or spreadsheet, such as:

**Make sure to check the most common tools and platforms that you use, as well as payment processors like Stripe and PayPal.**
**Tip:** Don’t forget to update saved payment info in browsers and mobile wallets too (Chrome, Safari, Apple Pay, Google Pay).
Keep your old account open for **30 to 60 days** to:
* Catch any missed or delayed payments
* Set up transaction alerts for notifications
* Check for less frequent charges (annual or quarterly)
Once all updates are done: Cancel unused or forgotten subscriptions that you may have missed.

# What happens if a transfer fails

Transfers may fail or be returned for several reasons.
## Insufficient funds
If there are not enough available funds in your account at the time a transfer is processed, the transfer will not be completed. Recurring transfers with insufficient funds will fail and will not automatically retry unless rescheduled.
## ACH returns
ACH transfers may be returned by the receiving bank due to incorrect account details, closed accounts, or other banking errors. If an ACH is returned, the funds will be credited back to your account once received from the external bank.
When an ACH transfer is returned, you will receive an email notification with details about the return, including the return reason and the amount.
Return timelines vary depending on the receiving institution.
## International wire beneficiary verification
When you add a new international wire beneficiary, Karat runs a compliance verification check. If the beneficiary's verification is still pending when you initiate a transfer, the transfer is held and appears under **Processing (no action needed)** in your activity table.
* If the beneficiary is **verified**, the held transfer is automatically submitted.
* If the beneficiary is **disabled** (did not pass verification), the held transfer is canceled and the funds remain in your account.
* If you **delete** a beneficiary with pending transfers, those transfers are also canceled.
For approval-required transfers, a transfer request submitted for an unverified beneficiary will show a **Pending** status until the beneficiary is verified. If the beneficiary is disabled or deleted, the request is automatically canceled.
## Canceled or restricted accounts
Transfers may also fail if the recipient account is closed, frozen, or unable to receive funds.
If a transfer fails and you are unsure why, contact us so we can review the transaction details with you.

# Where do I find my account and routing number

# Accessing tax documents

Documents are updated automatically if your information changes. You are responsible for keeping your information current and reviewing your documents for accuracy.
## Reimbursements and 1099-NEC totals
Payments that payers mark as reimbursements are excluded from 1099-NEC
aggregation and from the tax-collection thresholds that trigger tax form
requests. If a payment was misclassified, ask the payer to update it from the
Payments dashboard. See

# Completing tax information for Payments

Recipients are required to submit tax information before receiving payments.
This is collected during onboarding and kept on file for future payments.
## What's required
**U.S. recipients:** W-9 form and Taxpayer Identification Number (TIN)
**International recipients:** W-8 form and country-specific tax details
## How it works
During onboarding, you'll enter your information and electronically sign
your tax form. Karat then verifies your details, which may include identity
checks, sanctions screening, and TIN matching for U.S. users.
Payments may be delayed if your tax information is incomplete or incorrect.
Tax forms are updated automatically if your information changes.
## Receiving payments from multiple payers
If you've been invited to receive payments from more than one organization,
each payer that requires tax information collects it separately. Submitting
your tax form for one payer doesn't automatically share it with another.
When you accept a new payment invitation, you may be prompted to complete
your tax form again for that payer, even if you've already finished the
process before. Your previously approved details are reused where possible,
so you typically only need to review and re-sign.
# How to access Payments

Payments is available to Admin and Manager users. If you don't see it in

## Before you send
Before sending your first payment, make sure:
* Your preferred payout methods (e.g. ACH, PayPal) are enabled in
[payment settings](https://app.trykarat.com/settings/payments)
* You have sufficient funds in your account
Karat does not advance or front payments. You must have funds available
before sending.
## Enabling a payout method
To enable a payout method, go to
[payment settings](https://app.trykarat.com/settings/payments) and select
the method you want to activate.
1. Review and accept the terms for the payout method
2. If your business has multiple owners, confirm each owner's percentage
3. If any beneficial owner holds more than 25% ownership, upload a
government-issued ID for that owner
### Identity document requirements
Beneficial owners with more than 25% ownership must provide a
government-issued photo ID before the payout method can be enabled.
Accepted documents include:
* Passport
* Driver's license
* State-issued ID
You can upload a JPG, PNG, or PDF file. Images are automatically
compressed to meet size requirements. PDF files must be under 2 MB.
Once all required documents are submitted, the payout method is enabled
and you can begin sending payments.
## Setting up international payment methods
If your organization is eligible, international payments are automatically
enabled when Payments is activated. You'll see a banner at the top of the
Payments dashboard prompting you to set up additional payment methods for
paying recipients globally.
From the banner, you can:
* Click **Set up now** to open a guided setup flow
* Enable international bank transfers, SWIFT wire transfers, crypto, or PayPal
* Review and accept terms for each method before activation
Once a method is enabled, it appears as **Available** in the setup
modal. You can manage enabled methods and configure who pays the transfer
fee for each method in
[payment settings](https://app.trykarat.com/settings/payments). See

details on fee handling options.
If you only need to pay U.S.-based recipients, you can dismiss the
banner and continue with domestic payment methods only.
# Managing recipients in Payments

View, filter, and export your Karat Payments recipients by payout method, onboarding status, or search term, and download a CSV with tax forms.
The **Recipients** tab on the Payments dashboard shows everyone you've added as a payee, along with the payout method they've chosen and how much you've paid them.
To open it: **Banking > Payments > Recipients**
## Recipients table
Each row shows:
* **Name** — the recipient's display name and email
* **Payment method** — the payout method the recipient is currently set up to receive
* **Total Payments (YTD)** — the total amount you've paid them this calendar year
* **Status** — where the recipient is in onboarding (for example, *Active* or *Recipient action needed*)
### Payment method values
The **Payment method** column reflects the recipient's saved payout method. Possible values:
* **ACH** — domestic ACH bank transfer
* **Bank Wire** — domestic wire
* **SWIFT Wire Transfer** — international SWIFT wire
* **Karat** — paid into a Karat account
* **PayPal**
* **International Bank Transfer** — local bank transfer in the recipient's country
* **Crypto** — crypto wallet payout
* **—** — no payout method on file yet
A recipient won't have a payment method until they finish onboarding and select one. New recipients show a dash until they complete that step.
## Filtering recipients
Use the filter bar above the table to narrow the list. You can combine multiple filters at once:
* **Search** — find a recipient by name, nickname, or email.
* **Status** — show recipients in one or more onboarding states (*Created*, *Active*, *Recipient action needed*, *Pending*, *Approved*).
* **Payment method** — show only recipients on the methods you choose. Select **No payment method** to find recipients who still need to complete payout setup.
Active filters appear as pills above the table. Click the **x** on any pill to remove that filter.
Filter by **No payment method** to find recipients who haven't finished onboarding, then resend their invitation so payments aren't held up.
## Exporting recipients
Click **Export** above the table to download a CSV of the recipients currently matching your filters. The export respects the search term, status filters, and payment method filters you have applied.
Each row in the CSV includes the recipient's name, email, status, **payment method**, year-to-date completed payments, lifetime completed payments, tax collection setting, and an onboarding link you can share if they haven't accepted yet.
You can also include the recipient's tax forms (W-9 or W-8) as PDFs in the export by checking **Include tax forms** before downloading.

# Marking payments as reimbursements

Classify Karat Payments as reimbursements to exclude them from 1099-NEC totals and tax thresholds, via the send form, bulk CSV, or row menu.
You can classify a payment as a reimbursement so it's excluded from 1099-NEC
totals and tax-collection thresholds. Use this when you're paying someone back
for expenses they incurred on your behalf rather than paying them for services.
## What counts as a reimbursement
A reimbursement is a payment that repays a recipient for out-of-pocket costs —
for example, travel expenses, supplies, or other business expenses they paid for
on your behalf. Because reimbursements aren't taxable income to the recipient,
they shouldn't be reported on a 1099-NEC.
You're responsible for deciding whether a payment qualifies as a reimbursement.
If you're unsure, consult your tax advisor.
## How reimbursements affect 1099-NEC totals
When a payment is marked as a reimbursement:
* It displays a **Reimbursement** pill on the payment row.
* Its amount is excluded from the recipient's 1099-NEC aggregation.
* Its amount is excluded from tax-collection thresholds that trigger W-9 or
W-8 requests.
* It's flagged in payment exports with a **Reimbursement** column set to
**Yes**.
Non-reimbursement payments continue to count toward 1099-NEC totals as usual.
## Marking an individual payment when you send it
When you create a single payment, you can mark it as a reimbursement before
submitting:
1. Go to [Payments](https://app.trykarat.com/banking/payouts) and select
**Send payments**.
2. Choose the recipient and enter the amount, description, and payment date.
3. Check **Mark as reimbursement**.
4. Review and submit the payment.
The same checkbox is available when recording an off-platform payment in the
[external payment](/payments/send-money-with-payments#recording-off-platform-payments)
flow.
## Marking payments in a bulk CSV upload
The bulk payment CSV template includes an `is_reimbursement` column. Set the
value to `1`, `true`, `yes`, or `y` to mark that row as a reimbursement. Leave
it blank or set it to `0`, `false`, or `no` for a regular payment. The column
header `reimbursement` is also accepted.
Example CSV:

Rows marked as reimbursements display the **Reimbursement** pill in the review
grid so you can confirm before submitting the batch.
## Marking or unmarking an existing payment
You can change a payment's reimbursement status after it's been sent:
1. Open the Payments dashboard and find the payment row.
2. Click the row's overflow menu (the **⋯** icon).
3. Select **Mark as reimbursement** or **Unmark as reimbursement**.
You can also toggle the status from the payment detail view by clicking **Mark**
or **Remove** next to the **Reimbursement** field.
Updating the status immediately recalculates the recipient's 1099-NEC totals
and tax-collection thresholds for the year. If you change the status after a
1099-NEC has already been generated, review the updated form in
[Tax forms](/payments/accessing-tax-documents) to confirm the change is
reflected.
## Reimbursements in payment exports
When you export payments to CSV, each row includes a **Reimbursement** column
with the value **Yes** or **No**. Use this column to reconcile reimbursements
against your accounting records.
# Payments fees

Fees depend on the payout method selected. By default, fees are paid by
the recipient and deducted from the payment amount. You can change this
so your organization covers the fee instead.

The SWIFT wire transfer fee is deducted from the payment amount before the
transfer is sent when the recipient pays. This means the recipient receives
the payment amount minus the fee. The exact fee is shown before the
recipient confirms their payout method. If the payment amount is too small
to cover the SWIFT fee, the recipient must choose a different method.
Fees may vary by country. There is no cost to recipients for tax form
generation.
Crypto network (gas) fees are always paid by the recipient, regardless
of the fee handling setting.
## Who pays the fee
For each payment method, you can choose whether the fee is paid by the
recipient or by your organization (the payer). This is configured per
payment method in
[payment settings](https://app.trykarat.com/settings/payments).

To change who pays the fee:
1. Go to [payment settings](https://app.trykarat.com/settings/payments)
2. Find the payment method you want to update
3. Use the **Who pays the fee** dropdown to select **Recipient pays** or
**Payer pays**
The change takes effect for all future payments using that method. You can
update this setting at any time.
When you send a batch payment with payer-pays-fees enabled, the fee for
each recipient is shown in the **Fees** column on the confirmation screen.
The batch total includes both the payment amounts and any fees your
organization covers.
# Receiving money with Payments

If someone sends you a payment through Karat, you'll receive an email
notification with instructions.
## First-time setup
New recipients need to complete a one-time onboarding before funds are
released:
1. Accept the payment invitation
2. Create or log in to your Karat account
3. Complete onboarding and submit tax information
4. Choose how you want to be paid
## Payout methods
Available methods depend on your location.
**Domestic (U.S.) recipients:**
* Karat account
* ACH bank transfer
* PayPal
* Crypto
**International recipients:**
* International bank transfer (through local banks)
* SWIFT wire transfer
* PayPal
* Crypto
### Choosing SWIFT wire transfer
If you select **SWIFT wire transfer** as your payout method, you'll need to provide:
* Beneficiary type — whether you are an individual or a business
* Your full legal name (up to 35 characters)
* Your address (street, city, and country)
* Your bank's SWIFT/BIC code (8 or 11 characters)
* Your bank account number
* An optional routing number
After you submit your details, Karat runs a compliance verification check.
This typically completes within seconds, but may take additional time for
manual review in some cases.
Your beneficiary status will show as one of the following:
* **Verified** — you passed compliance checks and can receive transfers.
* **Pending** — verification is still in progress. Payments sent to you will be held until verification completes, then released automatically.
* **Disabled** — you did not pass compliance checks and cannot receive transfers via SWIFT. Choose another payout method.
A fixed fee applies to SWIFT wire transfers and is deducted from the
payment amount before the transfer is sent. The fee is displayed before you
confirm your payout method. If the payment amount is too small to cover the
fee, you'll be prompted to choose a different method.
All SWIFT transfers are sent in U.S. dollars (USD). Currency conversion, if
applicable, is handled by the receiving bank. SWIFT transfers typically take
1 to 5 business days to arrive.
## Pending payment alerts
If you have unclaimed payments, a banner appears at the top of your
dashboard showing the number of pending payments, who sent them, and the
amount. Click **Accept now** to start or resume the acceptance flow.
The banner picks up where you left off. If you already completed your tax
information, you'll skip straight to choosing a payout method. If you've
already set up a payout method, you'll go directly to the review step.
The banner appears on every page of your dashboard until all pending
payments are accepted.
If you haven't received a payment yet but have been invited to set up your
account, the banner reads **"One step left before you can receive
payments"** with a **Set up now** button to complete onboarding.
## Future payments
After your first payment, your payout method is saved and future payments
are processed automatically. You can update your method anytime from
[app.trykarat.com/payments](https://app.trykarat.com/payments).

From your [dashboard](https://app.trykarat.com/payments), you can:
* View payment history
* Update payout methods
* Under "Payment method" click "See more" and edit your [primary payment method](https://app.trykarat.com/payments/payment-details).

# Send money with Payments

Send individual or bulk Karat Payments by CSV, track batches in the dashboard, download remittance PDFs, and record off-platform payments.
You can send payments to one recipient or many at once.
## Individual payments
Send a payment to a single recipient directly from the Payments dashboard.
## Bulk payments
Upload a CSV file to pay multiple recipients at once. A template is
provided to help you format the file correctly.
## How to send a payment
1. Go to [Payments](https://app.trykarat.com/banking/payouts)
2. Select **Send payments**
3. Add recipients or upload a CSV
4. Review the confirmation screen and submit
On the confirmation screen, a **Fees** column shows the transfer fee for
each recipient. If your organization pays the fee, the fee amount appears
per row and is included in the batch total. If the recipient pays the fee,
the column displays **N/A**. For new recipients who haven't selected a
payout method yet, fees show as **Pending** until their method is known.
To send international payments, you must first enable at least one
international payment method. See
[How to access Payments](/payments/how-to-access-payments#setting-up-international-payment-methods)
for setup instructions.
Once submitted, funds are held and recipients are notified. New recipients
must complete onboarding before payment is released. Returning recipients
are paid automatically using their saved method.
## Tracking payments
All payments can be tracked in real time from the Payments dashboard.
You can view status at both the batch level and per recipient.
### Filtering and searching payments
Use the filter bar at the top of the payments table to narrow down results. You can combine multiple filters at once:
* **Search** — find payments by recipient name, email, or description.
* **Recipient** — show payments for one or more specific recipients.
* **Status** — filter by payment status group:
* **Cancelled** — payments you cancelled before they were processed.
* **Completed** — payments that were successfully delivered.
* **Failed or returned** — payments that failed to process or were returned after delivery.
* **Pending** — payments that are created, in progress, or under review.
* **Recipient action needed** — payments waiting for the recipient to provide tax information or accept the payment.
* **Date range** — show payments created within a specific time period.
* **Amount** — filter by minimum or maximum payment amount.
Active filters appear as pills above the table. Click the **x** on any pill to remove that filter.
## Downloading a payment remittance
You can download a PDF remittance for any payment. The remittance includes the payment amount, status, recipient details, transfer information, fees, and a reference ID.
To download a remittance:
1. Open a payment from the Payments dashboard
2. Click the **download** icon in the payment detail view
3. The PDF will be saved to your device
This is useful for recordkeeping, sharing payment confirmations with recipients, or providing proof of payment to a third party.
## Recording off-platform payments
If you paid someone outside of Karat, you can still record it in your
dashboard. This keeps your records complete and ensures accurate 1099
generation for eligible domestic recipients.
## Marking a payment as a reimbursement
If a payment repays a recipient for expenses rather than paying them for
services, you can mark it as a reimbursement so it's excluded from 1099-NEC
totals. You can do this when sending an individual payment, in the bulk CSV
upload (via the `is_reimbursement` column), or from the overflow menu on an
existing payment row. See
